Front Desk & Communication
- Greet visitors and direct them to the appropriate person or office.
- Answer and screen incoming phone calls professionally; take and deliver messages as needed.
- Handle incoming and outgoing mail, deliveries, and email correspondence.
Errands & External Coordination
- Run local errands, including food pick-ups for meetings, and staff events.
- Coordinate with vendors for meal deliveries and event supplies.
- Ensure all errands are conducted in a timely, professional manner.
Supplies & Inventory Management
- Monitor and maintain stock levels of office and kitchen supplies.
- Order necessary items in a cost-effective, timely manner.
- Keep supply areas organized and fully stocked.
Office Cleanliness & Organization
- Maintain a clean and organized office, including kitchen and common spaces.
- Support light cleaning tasks or coordinate with janitorial staff as needed.
- Facilitate maintenance and repair needs for office equipment.
Administrative Support
- Maintain office filing and storage systems.
- Perform data entry and update spreadsheets and documents.
- Assist with appointment scheduling, meetings, and internal events.
- Provide support to executives and team members as needed.
Fleet & Facility Management
- Manage check-out procedures and scheduling for internal fleet vehicles.
- Oversee KTAG setup and documentation for fleet usage.
Other Duties
- Participate in company events or special projects as required.
- Perform additional administrative or operational tasks as assigned.
QUALIFICATIONS
- High school diploma or equivalent required.
- Prior experience in an office assistant, receptionist, or similar role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Reliable transportation and valid driver’s license required.
- Must be able to lift to 30 pounds as needed.
- Comfortable working independently and taking initiative in a fast-paced environment.
