General Schedule:

Position typically works Monday-Friday from 8am-5pm in-office at UCO's main campus in Edmond, Oklahoma.

Position Level:

Individual Contributor III - Senior-level professional position within the library. Identifies and resolves issues while using independent judgment. Anticipates potential problems and recommends solutions. May provide input into budget development. May be responsible for monitoring/adhering to budget. May have signature authority for purchases. Responsible for monitoring performance and policy compliance. Makes recommendations regarding process and procedure change. Reports to Executive Director of Library. Supervises lower-level employees.

 Job Duties: 

  1. Provides specialized, in-depth services to Library patrons by responding to inquiries and providing requested library information resources utilizing a variety of electronic and print resources. 
  2. Manages all aspects of the Special Collections and Archives, including staff hiring, training, and supervision, policies, procedures and records management.
  3. Leads research services for special collections.
  4. Creates and edits research guides.
  5. Assists with enriching the related metadata.
  6. Assist with management of library’s archival content management system, ArchivEra.
  7. Collects and preserves records from university departments, faculty, alumni and the community.
  8. Identifies special collections worthy of acquisition by the library.
  9. Leads all communication with donors and potential donors for the Special Collections and Archives. 
  10. Assists with maintenance and expansion of access to online collections.
  11. Overseas and develop exhibits and displays, physical and online.
  12. Engages in collaboration with the university on records management practices.
  13. Assesses the archive program and tracks metrics related to institutional records.
  14. Develops and maintains records retention and identification systems.
  15. Ensures preservation of special collections, including managing storage conditions (temperature and humidity).
  16. Collaborates with departments on utilizing the collections.
  17. Reports to the Executive Director of the Chambers library.
  18. Performs other duties as assigned.

Qualifications/Experience Required:

  1. Bachelor’s degree in job related field plus 4+ years of work experience or equivalent combination of education and experience.
  2. Offers evidence of relevant professional experience.
  3. Demonstrates effective communication skills.

Qualifications/Experience Preferred:

  1. Certified archivist
  2. Experience working in academic libraries
  3. Experience working with archival management systems.
  4. Working knowledge of working with social media platforms
  5. Experience working with working with customer relation management systems.

Knowledge/Skills/Abilities:

Knowledge/use of libraries. Excellent interpersonal and communication skills. Knowledge of Windows-based computer applications and Microsoft Office applications. Knowledge of library information systems and electronic databases. Ability to evaluate situations and make decisions, interpret library policies and exercise considerable independence and discretion. Must be able to maintain effective work relationships with library users and staff. Must be detailed oriented and have organizational skills to process a large volume of donated materials in a timely manner.
