$15.00 per hour is equivalent to $31,200.00 per year.

General Schedule:

Position typically works Monday-Friday from 8am-5pm.

Position Overview:

Provide clerical and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. This position supports the department chair and serves as primary contact for students, faculty, and staff.

Job Duties:

  • Responsible for daily administrative operations of the department.

  • Greet and screen visitors and phone calls; relay messages, takes necessary action, or refers to the appropriate person for resolution.

  • Serve as primary support to the department chair, coordinating calendars, meetings, and communications.

  • Prepare and manage departmental correspondence, reports, and confidential documentation.

  • Coordinate purchases, process requisitions, and track invoices and budget expenditures.

  • Maintain organized departmental records, shared drives, and supply inventory.

  • Assist with faculty-related processes, including tenure, promotion, and hiring documentation.

  • Plan and support departmental events and special projects.

  • Provide guidance on university policies and procedures to students, faculty, and staff.

  • Attend meetings and record minutes as needed.

  • Perform other duties as assigned.

Qualifications/Experience Required:

General education or vocational training and 2+ years’ relevant experience or equivalent combination of education and experience.

Qualifications/Experience Preferred:

2+ years of office management experience, 1+ year of accounting or financial tracking experience, and/or a bachelor's degree is preferred. Experience in higher education and familiarity with UCO administrative systems and purchasing procedures is also preferred.

Knowledge/Skills/Abilities:

  • Keyboarding speed of 40+ wpm.

  • Willingness to obtain a university-issued P-Card and/or notary designation.

  • Proficiency in Microsoft Office and related software.

  • Demonstrates a technology-driven approach to administrative tasks, utilizing digital tools and systems to enhance efficiency and accuracy.

  • Strong communication, organization, and problem-solving skills.

  • Ability to manage multiple priorities with accuracy and professionalism.

  • Ability to maintain confidentiality and handle sensitive information.

  • Service-oriented attitude with a collaborative mindset.

  • Ability to work independently and with minimal supervision.
