SUMMARY
Supports the Loan Documentation Manager in leading and training the Central Loan Documentation Department in preparing quality loan documents. Must have a thorough understanding of most types of loans and other related requirements and can independently act to meet those requirements. Works under minimal supervision while supporting the Commercial and Retail Banking functions. Must have a thorough understanding of regulatory requirements and legal requirements for all bank markets.

 

PRIMARY DUTIES/RESPONSIBILITIES:

  • Represents the bank in a positive, courteous, friendly, and professional manner, including telephone, email, and other methods of communicating.
  • As a Lead Loan Documentation Specialist, has the following additional duties:
    • Actively engages Loan Operations management in preparation for additional duties with future advancement.
    • Responsible for coordination and administration of document preparation and services ordering queues, including assignment of document requests in the queue to Loan Documentation Specialist.
    • Responsible for review and accuracy of completed loan documentation prior to release to external Colleagues for customer signature.
    • Responsible for error/accuracy tracking of loan documents as prepared by Loan Documentation Specialists.
    • Responsible for pre-review of loan document request and communication and coordination with bank Colleagues to collect additional information needed to prepare loan documents.
    • Expert concerning processes and policy used in all aspects of loan documentation preparation described above and acts as resource and provides direction for other Loan Documentation colleagues.
  • Gathers, and evaluates information from loan clients, title companies, and other parties, such as tax returns, collateral information, financial documents, etc.
  • Fully proficient and responsible for creating commercial, real estate, and consumer loan promissory notes, loan agreements and all other types of documents in accordance with the terms and conditions of credit policy and approval and in compliance with local, state, and federal regulatory requirements.
  • Fully proficient and responsible for ensuring security of loan documents, including the perfection of the Bank’s interest in collateral and protection of documents which represent the Bank’s security interest (i.e. security agreements, recorded deeds, vehicle titles, UCC-1 forms, etc.)
  • Fully proficient and responsible for ensuring that loan document packages are complete and ready for funding and boarding including coordination with title and/or escrow companies for closing.
  • Responsible for meeting service level guarantees for provision of loan documents based on scheduled loan closings.
  • Fully proficient and responsible for ensuring timely and accurate booking and funding of loans.
  • Fully proficient and responsible for scanning and indexing all loan document types to the Bank’s imaging system.
  • Fully proficient and responsible for pre- and post-documentation review of loan documentation.
  • Fully proficient and responsible for requesting title work, appraisals, and flood determinations for real estate secured loans.
  • Fully proficient and responsible for requesting new credit card requests as well as increases to credit cards for consumer and commercial clients.
  • Prepares general correspondence and all types of commercial, real estate, and consumer loan documents.
  • Responsible for payment of loan-related invoices.
  • Assist in training new colleagues on all aspects of the Central Loan Documentation team’s responsibilities.
  • Works directly with the Loan Documentation Manager to perform any other related duties as assigned, such as special projects assigned by Loan Operations Management.

QUALIFICATIONS
 

EXPERIENCE REQUIREMENTS:

  • Three years of experience in Loan Operations required.
  • Three years of progressive banking experience demonstrating thorough knowledge of lending products, documentation requirements, and risk management skills required.

EDUCATION REQUIREMENTS:

  • High school degree or equivalent required.
  • Bachelor’s degree preferred.

  • A positive attitude and excellent communication and interpersonal skills.
  • Detail oriented, high level of flexibility and adaptability, enabling individual to work in a fast-paced environment. Must be well-organized and display excellent time-management skills.
  • Proficient typing and computer skills including Word and Excel.
  • Proficient use in the bank’s Loan Documentation system preferred.
  • Ability to read, comprehend and evaluate detailed and complex loan documents.
  • Ability to quickly learn new skills and apply to role.
  • Exceptional understanding of needs to provide client focused service.
  • Thorough understanding and familiarity of the bank’s loan policies and procedures.
  • Ability to work independently to resolve problems and complete complex loan transactions.
  • Thorough knowledge of regulatory and legal issues encountered in the completion and closing of complex commercial, real estate, and consumer loans.
  • Thorough knowledge of title policies, UCC guidelines, lien filing and mortgage/deed of trust filing.
  • Thorough knowledge of loan regulations including but not limited to Equal Credit Opportunity Act (Reg B), Fair Credit Reporting Act (Reg V), Real Estate Settlement Protection Action (Reg X), and Truth in Lending Act (Reg Z)
  • Working knowledge of credit agreement covenants, loan documentation in multiple states preferred.
  • Ability to multi-task and work multiple loan files at one time while maintaining reference for each file. Strong team focus with ability to work effectively in a team environment.
