Project Specialist (Cross-functional)

Administration for Native Americans (ANA)

Tribal Tech, LLC is seeking a Project Specialist to support daily operations and cross-functional project coordination for the Administration for Native Americans (ANA). This position is suited for a highly motivated, detail-oriented professional with excellent organizational abilities and a proactive approach. The Project Specialist will provide essential support in logistics, documentation, scheduling, data tracking, and general administrative support to ensure the program operates efficiently. This position demands professionalism, adaptability, and the capability to manage shifting priorities with accuracy and timeliness.

The Administration for Native Americans supports Native American communities by providing financial assistance and capacity building, gathering and sharing data, and advocating for improved policies within  the U.S. Department of Health and Human Services and across the federal government.

Location: Washington, D.C.

Major Duties and Responsibilities:

  • Assist ANA leadership with administrative and project coordination tasks across departments.
  • Update project trackers, calendars, and internal systems to support ongoing activities and adhere to deadlines.
  • Prepare meeting materials including agendas, briefing documents, and presentations.
  • Facilitate executive travel by preparing comprehensive travel briefs, detailed itineraries, and ensuring all follow-up documentation is completed.
  • Schedule meetings, send calendar invites, and ensure communication flows effectively across internal and external partners.
  • Monitor progress updates and assist with follow-up communications regarding pending project deliverables.
  • Support the organization and version control of shared documents in SharePoint or similar platforms.
  • Assist in maintaining task lists, updating databases, and organizing materials for team-wide reference.
  • Provide general administrative support to the ANA project team as needed.
  • Other duties as assigned.

Skills and Knowledge:

  • Excellent organizational and multitasking skills with strong attention to detail.
  • Capability to efficiently manage and prioritize multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint).
  • Familiar with cloud-based scheduling and document management systems.
  • Capability to work in a fast-paced, deadline-driven environment.
  • Strong verbal and written communication skills.
  • Demonstrated professionalism, discretion, and reliability.
  • Comfortable working independently and collaboratively with limited supervision.
  • Experience supporting project teams in an office or administrative setting.
  • Knowledge of Federal Travel Regulations (FTR) and Concur is advantageous but not mandatory.
  • Possesses strong organizational and multitasking skills with meticulous attention to detail.

Education and Experience:

  • Bachelor’s degree in a related field.
  • Minimum of 4 years of relevant work experience in an office environment and/or administrative capacity, working with senior leadership; Federal government experience preferred.
  • Requires some knowledge of federal government contracting and corporate policies/ procedures.
  • Experience working on Native American issues or working with other underserved/ socioeconomically disadvantaged communities.
