Summary
The Private Banking Specialist provides high-level administrative and client service support to Private Bankers and Wealth Advisors. This role assists in managing client relationships, coordinating account services, preparing documentation, and ensuring a seamless experience for high-net-worth clients. The position requires professionalism, discretion, attention to detail, and the ability to work collaboratively across departments to deliver exceptional service.
Essential Duties
• Serve as a key point of contact for private banking clients, providing responsive, courteous, and professional service.
• Assist with client inquiries, account maintenance, problem resolution, and follow-up.
• Coordinate client meetings, prepare materials, and ensure timely completion of action items.
• Maintain a thorough understanding of client accounts and preferences to provide personalized support.
• Gather and verify required documentation for new accounts, credit requests, and wire transfers.
• Ensure all client records and files are maintained in compliance with bank policies and regulatory standards.
• Track and follow up on pending transactions, documents, and client requests.
• Prepare reports, client summaries, and data for portfolio and relationship reviews.
• Coordinate with internal departments (loan operations, deposit operations, compliance, and trust) to ensure smooth service delivery.
• Assist in onboarding new clients and facilitate transitions between departments when needed.
• Adhere to all internal controls, policies, and procedures including KYC, BSA/AML, and privacy regulations.
• Maintain strict confidentiality of client and bank information.
• Identify and escalate any unusual account activity or potential risks.
• Support department initiatives, events, and client communications.
• Participate in internal training and stay current on product offerings, policies, and compliance updates.
Secondary Duties
The Private Banking Specialist performs duties specific to the position and other functions as assigned.
Responsibilities
• Ensure compliance with all bank policies and procedures, as well as all applicable state and federal banking regulations.

• Possess and maintain a current driver's license and a vehicle with appropriate insurance coverage. Both are required to drive while performing assigned duties and responsibilities.
• Possess and maintain adequate skills in computer operation, including email, word processing, spreadsheet, and specialty software programs.
• Possess and maintain adequate typing skills to meet the needs of the position.
• Possess and maintain adequate math skills to meet the needs of the position. This may include the ability to count currency and coin, calculate interest, balance accounts, add, subtract, multiply, and locate routine mathematical errors.
• Practice effective and efficient organizational and time management skills.
• Be able to work with general supervision while performing duties.
• Use effective oral, written, and interpersonal communication skills. This includes the ability to apply common sense when carrying out instructions, interpreting documents, understanding procedures, writing reports and correspondence, and speaking clearly to customers and employees.
• Be able to deal with routine problems involving multiple facets and variables in standardized situations.
Supervisor Responsibility
The Private Banking Specialist is not responsible for the supervision of any employee(s).
Environment, Physical, & Mental Demands
The environment for this position is primarily a non-confined office-type setting in which employees are free to move about at will. This environment may include some minor annoyances, such as noise, odors, drafts, temperatures, etc.
Physical demands include writing, typing, speaking, listening, lifting (up to 25 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception, and adjusted focus), sitting, walking, standing, squatting, kneeling, and reaching.
