Job Summary:
 

Reporting directly to the Patient Access Manager, the Radiology Reception & Scheduling Supervisor efficiently and effectively supervises the daily processes of Radiology access and support services including Reception Coordinators, Medical Transcriptionists, and Radiology Scheduling. This position coordinates shift activities, workflow, and daily operations in each of these areas, ensuring compliance with all applicable policies, procedures, regulatory, and accreditation standards. The Supervisor also maintains job competency and, as needed, performs the clerical, transcription, image management, and support functions of employees who report to him/her.

 

Key Responsibilities:

 

  • Assign daily/weekly work schedules based on department needs.
  • Manage all time off/PDO requests.
  • Assign daily/weekly tasks to Radiology support staff.
  • Provide coverage for staffing shortages.
  • Perform corrective action when needed.
  • Conduct probationary and annual evaluations.
  • Maintain up-to-date exam protocols, procedure manuals, downtime procedures, and reference books.
  • Manage file retention.
  • Routinely review orders and scanning for accuracy.
  • Ensure all office equipment is functioning properly.
  • Assist Radiology Director and Patient Access Manager with Satisfaction Surveys.
  • Complete incident reports when necessary.
  • Manage DEFAULT providers and provider updates.
  • Oversee report distribution.
  • Maintain biopsy paperwork on a daily/weekly basis.
  • Review system for patient orders and/or office notes and print accordingly.
  • Manage all legal requests for imaging.
  • Coordinate with Corporate Compliance Officer for securing imaging, additional necessary documentation, and approval.
  • Demonstrate a high degree of knowledge in radiology terminology and support functions.
  • Manage supply orders and inventory.
  • Orientate all new hires.
  • Monitor CSP and Employee invoices and submit for billing/payment when necessary.
  • Update interface for providers no longer ordering exams due to retirement/leaving OH network.
  • Update interface for providers missing key fax information.
  • Participate in committees as assigned by the manager.
  • Take meeting minutes for all leadership, department, or morale meetings.
  • Serve as a liaison between hospital departments, ECF, and outpatient offices.
  • Manage Solucro accounts as an administrator.
  • Provide clerical coverage at various locations (RAD, GORMAN, SCHED, OOG) when necessary.
  • Perform additional duties as needed.
  • Communicate effectively with other team members throughout the day to ensure smooth workflow.
  • Perform other duties as assigned by the Patient Access Manager.

Qualifications

Qualifications:

 

Education:

 

High School graduate (required).

 

Experience:

 

1 year of experience in supervising clerical, administrative, or support staff within a healthcare environment (required)

1 year of experience in Radiology or Medical Imaging Departments (Required).

Experience coordinating schedules, managing patient appointments, and handling imaging documentation (Required).

Experience working in a medical office or hospital administrative role (Preferred).

Experience in roles that require direct interaction with patients, such as a receptionist, patient access representative, or customer service coordinator (Preferred).

Experience with maintaining quality standards, managing records, and ensuring compliance with regulatory requirements (Preferred).

Experience with medical transcription, ensuring accuracy in documenting medical procedures and patient information (Preferred).

Experience in roles that involve coordinating daily operations, managing workflows, and ensuring smooth

Experience participating in or leading committees, managing projects, and taking minutes in meetings (Preferred).

Experience handling legal requests, subpoenas, and ensuring compliance with healthcare regulations, including HIPAA (Preferred).

Physical Requirements:

 

  • Physical ability to perform job-related duties, which may include sitting for extended periods, moving files, and occasionally lifting up to 25 lbs.
