Description

This position is responsible for data integrity of customer accounts and orders to ensure accurate and efficient order processing for product and service orders into Business Central. This role focuses on data entry, order processing, and cross-functional coordination within Business Central, especially during the high-volume Labor Law season. Key responsibilities include:

  • Data Entry & Order Management: Accurately enter and manage sales orders, resolve order issues (e.g., payment, address, tax), monitor backlog, and maintain data integrity.
  • Cross-Functional Communication: Work closely with the Warehouse Manager, Supply Chain & Logistics Director, Production Planner, and other departments to ensure smooth order fulfillment.
  • Seasonal Support: During peak season (Labor Law), manage large-scale order batches, coordinate item availability and shipping timelines, and communicate updates via Salesforce.
  • Credit & Invoice Management: Track and follow up on declined payments, manage past-due invoices using HubSpot, and process returns/credits promptly.
  • Process Improvement & Documentation: Monitor workflow efficiency, troubleshoot technical issues, liaise with IT, and maintain/upkeep detailed procedural documentation.
  • Customer Support: Provide backup for customer service (calls, chats, emails), support annual collections efforts, and contribute to a positive customer experience.
  • Team Collaboration: Participate in system upgrades, back up teammates as needed, and take on special projects in a small, collaborative team environment.

Qualifications

SKILLS and ABILITIES:

  • Ability to prioritize and manage multiple tasks with good organizational skills, and the ability to work under daily, weekly and monthly deadlines
  • Capable of juggling and organizing complex and stressful situations with a positive attitude.
  • Independent problem identification, analysis and solutions, ability to work through problems individually and with the team.
  • Ability to work with a minimum of supervision, self-motivated.
  • Fast and accurate data entry, very detail oriented.
  • Previous order processing experience required (2 + years). Experience with inventory management, and warehouse functions are important. Customer service skills are a plus.
  • Business-level English and grammar skills, both written and verbal.
  • Ability to work extended hours when required or requested. Labor Law season will require some 10-hour days and some Saturday mornings to ensure that the warehouse has sufficient orders to continue fulfilling orders without interruption. Labor Law season is a black-out season for time off requests.
  • Ability to be cross trained in departmental procedures and to exhibit flexibility to shift job duties as demand arises. Labor Law season is a black-out season for time off requests.
  • Must be reliable and flexible with daily assignments.
  • Knowledge of, or ability to learn, CalChamber’s Business Central enterprise system, Salesforce and other essential databases.
  • Familiar with common web browsers (i.e. Internet Explorer, Fire Fox, and Chrome) and a good understanding of internet concepts and technologies. PC literate with good knowledge of Word, Excel and Outlook.
  • Able to effectively work in a team as well as independently.
