Position Summary:
The Program & Office Coordinator provides comprehensive administrative and programmatic support to ensure the smooth operation of the organization. This role is responsible for managing daily office functions, supporting organizational events and programs, and serving as a key liaison between staff, residents, clients, and the community.

 

REPORTS TO: Director of Programs

 

DUTIES AND RESPONSIBILITIES

Administrative & Office Operations

  • Serves as the primary office administrator, handling clerical and administrative support tasks.
  • Orders office and event supplies in coordination with program needs.
  • Manages the billing process and ensures timely submission of payments and reimbursements.
  • Assists with building access, including opening and closing duties.
  • Supports building management tasks as needed.
  • Pre-screens and routes calls, messages, and inquiries related to programs and organizational functions.
  • Coordinates logistics for internal and external meetings.
     

Program & Event Coordination

  • Directly supports the Director of Programs. 
  • Assists with scheduling and registration for programs, events, and meetings.
  • Supports the planning and execution of organizational events as a member of the Events Committee.
  • Coordinates volunteer program activities and management.
  • Assists with Youth Council operations and attends meetings as needed.
  • Coordinates scheduling for the Microtransit Program and Community Coach activities.
  • Provides coverage and support for additional duties as required to meet programmatic and operational needs. 

Community Engagement & Client Support

  • Supports marketing and public relations efforts for the organization and its programs.
  • Identifies and connects residents and clients with appropriate internal or external resources.
  • Represents the organization at community events or meetings as needed.
  • Assists with running errands and other off-site responsibilities as assigned.

Other Duties

  • Performs other duties as assigned in support of the organization’s mission.

Qualifications

REQUIREMENTS: 

  • Must have a Minimum of a High School Degree and minimum of Two (2) Years of Experience with key duties and responsibilities
  • Must be able to pass a Criminal Background Check and Drug Screen 
  • Must have a Reliable Vehicle with Current Vehicle Insurance and Valid Driver’s License
  • Must have good attendance
  • Must have a willingness to accept feedback from leadership
  • Full-Time: Must be able to work up to 30 Hours per Week
  • Must work some Weekends and Evenings (minimum of 15) 
  • Hourly Pay Rate: Negotiable Based on Education & Experience
  • Knowledge of Indianapolis and Far-Eastside area Preferred 

 

PHYSICAL REQUIREMENTS:

 

  • Ability to lift up to 50 lbs and work outdoors during events
  • Comfortable with extended periods of standing, walking, and driving

  • Excellent computer skills & thorough knowledge of Microsoft Office Programs, including Word & Excel and Google Drive
