Position Overview:
Under the direction of the Supervisor of Membership Clerks and in accordance with the goals and objectives of the Boys & Girls Clubs of Lower Bergen County, the Membership Clerk/Receptionist (MC) acts as receptionist and greets all visitors and members who enter the building. Answers telephone calls, records messages when necessary, approves membership applications, and is knowledgeable in all program offerings.
KEY ROLES (Essential Job Responsibilities):
- Answer Phone direct calls to proper area. Record and deliver messages to proper individuals. Must always use good and proper language.
- Handle all memberships by following already installed procedures including utilization of Member Tracking System.
- Be responsible for total coverage of front desk during hours of Club operation.
- Must be computer literate, must have good knowledge of Member Tracking System, G-Suite and various Microsoft programs.
- Check to ensure the completion of all child enrollment paperwork through online registration.
- In charge of checking in and out members entering and leaving building through Member Tracking System.
- Make sure adequate forms used by the desk are available.
- Assist office with bulk mailings, collate papers, make copies etc.
- Notify office of all deliveries so they may be checked and delivered to proper department.
- Assisting in maintaining an up-to-date schedule of daily program offerings so that parents are informed of the whereabouts of their child.
- Notify management of delinquent payments.
- Attend all necessary trainings as deemed necessary.
- Any other duties as deemed necessary
RELATIONSHIPS:
- Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel.
- External: Maintains contact with members, parents, public, vendors, consultants, auditors and service providers to maintain effective accounting operations, manage costs, share information and resolve problems.
