As we continue to expand our operational capabilities, we’re seeking a detail-oriented and proactive Operations Administrator to join our team and support critical business functions.


Position Summary:

The Operations Administrator at Mercury Fuels supports daily operational activities across pricing, dispatch, and customer/location setup. This role is essential to keeping our processes efficient, accurate, and responsive to customer and vendor needs. The ideal candidate will be highly organized, communicative, and comfortable managing multiple priorities in a fast-paced aviation environment.


Key Responsibilities:

Pricing Support

  • Assist with generating, updating, and validating daily and contract jet fuel pricing.
  • Maintain and organize pricing records and ensure accuracy across systems.
  • Support the sales and supply teams with custom quote generation.

Dispatch & Logistics

  • Coordinate jet fuel deliveries by communicating with vendors, carriers, and customers.
  • Monitor order status and resolve dispatch-related issues in real-time.
  • Ensure accurate documentation and timely updates of delivery records.

Customer & Location Setup

  • Assist in onboarding new fueling locations and customers into Mercury Fuels systems.
  • Create and maintain accurate profiles, pricing, and dispatch platforms.
  • Ensure all setup documentation is complete and compliant with internal processes.

General Operations Support

  • Respond to internal and external inquiries professionally and promptly.
  • Prepare operations reports and assist in monthly performance summaries.
  • Support data entry, audits, and administrative tasks as assigned.

Qualifications

Qualifications:

  • 1+ years of experience in operations, logistics, aviation fuel, or related industries.
  • Exceptional organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office tools, especially Outlook and Excel.
  • Familiarity with aviation fuel pricing, logistics, or vendor management is a plus.

Preferred Skills:

  • Advanced Excel proficiency (pivot tables, lookups, formatting).
  • Strong problem-solving mindset and ability to work independently.
  • Flexible, team-oriented, and eager to take on new challenges.
  • High integrity, especially regarding sensitive pricing and operational data.
