The Coordinator of Alumni Engagement & Operations supports the Director of Alumni Relations in planning and executing programs, events, and communications that strengthen connections between Parker University alumni, students, and donors. This position assists with event logistics, departmental operations, scholarship and mentoring programs, and alumni outreach across all colleges. Working under the direction of the Director, the Coordinator helps ensure smooth day-to-day operations and consistent, high-quality engagement experiences that reflect Parker’s mission and values.
WHAT YOU WILL BE DOING:Â
Responsibilities include, but are not limited to:
1. Alumni Engagement & Event Support – 35%

Assist the Director in planning, coordinating, and implementing alumni programs and events for all Parker colleges.

Support logistics for Parker Seminars (Vegas and Miami), Parker Alumni Homecoming, Invicta Gala, Golf Tournament, and regional alumni events.

Coordinate vendor communication, registration, catering, travel, and volunteer needs under the Director’s supervision.

Prepare event materials, nametags, and supplies; assist with event setup and on-site execution.

Maintain event attendance data and assist with post-event follow-up and reporting.
2. Alumni & Donor Relations Support- 25%

Assist the Director with donor stewardship, scholarship tracking, and alumni recognition efforts.

Help manage donor-funded scholarship records and coordinate communications between Advancement and Financial Aid.

Draft thank-you notes, invitations, and event recaps for alumni and donors.

Update and maintain alumni data in Blackbaud and related systems.
3. Student-Alumni Programs – 20%

Support student-alumni initiatives such as the Parker Mentorship Program, Alumni After Hours, and Alumni Referral initiatives.

Coordinate logistics, registration, and communications for mentoring events under the Director’s guidance.

Collaborate with Admissions, Student Affairs, and Career Services to facilitate alumni participation.
4. Office & Administrative Operations – 20%

Provide administrative and operational support for the Alumni Relations Office.

Prepare purchase requests, track budgets, process invoices, and maintain supply inventories.

Schedule meetings, prepare agendas, record minutes, and maintain department calendars.

Supervise student workers and volunteers as assigned.

Assist with departmental reporting, goal tracking, and documentation as requested by the Director.
WHAT YOU WILL NEED:Â
EDUCATION/EXPERTISE:
-
Bachelor’s degree (BS/BA) required.
-
1-2 years of experience in alumni relations, event coordination, advancement, or higher-education administration.

Strong organizational and administrative skills, including event logistics, scheduling, and data management.
-
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required; experience with Blackbaud, Jenzabar, or Cvent preferred.

PHYSICAL REQUIREMENTS:

Visual acuity to use a keyboard and view a computer terminal. Requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp.

May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.Â

Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.
