Next Generation Management and Accounting Services is a professional property management and accounting company looking to hire a Vendor Manager to become the newest member of our skilled, diverse, and dynamic team!
We are seeking a highly organized and service-oriented Vendor Manager to oversee vendor relationships, ensure contract compliance, and support the smooth operation of the communities we manage. This position plays a key role in maintaining strong vendor partnerships and delivering exceptional service to homeowners and boards.
- Hourly rate: $20.00 - $23.00 / hour
- Schedule: Monday - Friday
- PTO: 40 hours of sick PTO after the 90-day probation period. 40 hours of vacation PTO after one year and 7 paid federal holidays.

Responsibilities

Serve as the primary point of contact for all third-party vendors, including landscapers, maintenance providers, contractors, and specialized service professionals

Coordinate bidding processes, request proposals, and support contract negotiations

Review vendor contracts to ensure scope accuracy, compliance, and alignment with community needs

Monitor vendor performance and follow up promptly on service issues, delays, or deficiencies

Schedule and oversee vendor work, inspections, and project timelines

Maintain organized records of contracts, insurance certificates, licenses, and W-9s

Ensure all vendors meet company and association requirements, including insurance and compliance standards

Work closely with Community Managers to support ongoing projects, preventive maintenance, and emergency service needs

Assist with budget planning by gathering vendor pricing, cost estimates, and service recommendations

Support the coordination of board meetings by providing vendor updates and status reports
Qualifications

Experience in vendor management, property management, community association management, or a similar field

Knowledge of contracting, bid processes, and vendor compliance requirements

Strong communication and negotiation skills

Excellent organizational and follow-through abilities

Ability to manage multiple priorities and respond quickly to urgent situations

High attention to detail and strong problem-solving abilities

Proficiency with standard office software (Microsoft Office or Google Workspace)

Familiarity with community association operations is preferred but not required
