General Vision

The Communications Project & Department Coordinator serves as the right-hand support to the Communications & Engagement Director, ensuring the Communications Team runs smoothly and strategically. 

This role combines administrative support, project management, and task delegation, helping ensure that creative vision is executed with clarity, efficiency, and excellence. The coordinator plays a critical role in organizing the team’s workload, assigning tasks, and keeping projects on track, while also assisting with departmental communication and resource management.

Essential Job Functions 

  • Project Management & Workflow Oversight
    • Review incoming communication requests, projects, and tasks, organizing and prioritizing them in collaboration with the Communications & Engagement Director.
    • Assign tasks and track project progress using project management tools 
    • Ensure all creative and communication projects stay on schedule and within scope.
    • Create and maintain team workflows, timelines, and calendars to align with church-wide ministry efforts and strategic initiatives.
    • Monitor task completion and proactively follow up with team members 
  • Departmental Support & Administration
    • Serve as a key communication liaison for internal departments submitting requests, ensuring clarity and completeness of submissions.
    • Maintain up-to-date records for departmental assets, templates, documentation, and project history.
    • Coordinate meetings, agendas, and action items for the Communications Team.
    • Provide administrative support to the Communications & Engagement Director as needed.
  • Cross-Team Communication & Collaboration
    • Ensure alignment between ministry departments and the Communications Team by managing intake processes and helping filter/prioritize communication needs.
    • Represent the Communications Team in ministry planning meetings as needed to gather details and prepare creative briefs.
  • Volunteer & Resource Coordination
    • Assist with volunteer onboarding, scheduling, and communication for Communications-related volunteers and interns.
    • Help coordinate the distribution of digital and print materials across campus and ministry areas.
  • Other Duties as Assigned
    • Support team events, campaigns, and initiatives as needed.
    • Be a team player willing to assist with a wide range of responsibilities in a fast-paced environment.

Qualifications

Required Skills and Abilities

  • Strong project management and organizational skills.
  • Clear and professional verbal and written communication.
  • Ability to manage multiple tasks, timelines, and people with attention to detail.
  • Proficiency in using digital tools such as Google Suite, project management software, and basic graphic tools (e.g. Canva).
  • Relational skills that foster collaboration and problem-solving.
  • A service-oriented mindset with initiative to improve systems and processes.

 

Education and Experience

  • Bachelor’s degree or equivalent work experience in project management, administration, communications, or related field.
  • At least 2 years of experience in an administrative or project management role, ideally in a creative or ministry environment.
  • Experience working with creatives or in a communications/marketing setting is a plus.
  • Familiarity with project management tools.

Physical Requirements

  • Sitting at a desk for long periods of time working on a computer.
  • See the differences between colors, shades, and brightness.
