Position Summary:
The HR Generalist will manage day-to-day HR functions and deliver exceptional service to all employees, in support of Saint Andrew’s School mission and strategic goals. This role encompasses a broad range of responsibilities, including recruitment and onboarding, benefits and leave administration, training and development, employee relations, compliance and record-keeping. The ideal candidate will be a highly organized, detail-oriented professional with excellent communication and interpersonal skills, with strong technical skills, and a passion for supporting a positive and productive work environment.
Duties and Responsibilities:
Recruitment & Onboarding
- Assist with the recruitment & onboarding process, by posting job openings, screening resumes, conducting interviews, completing reference checks and verifying employment.
- Ensure all onboarding documents are received.
- Responsible for processing all I-9 documentation using e-verify and ensuring compliance with all laws and regulations.
- Administer all background check and fingerprinting processes in a timely manner, including reconciliation of invoices.
- Collaborates with internal departments to facilitate a seamless onboarding experience for new employees.
Benefits and Leave Administration
- Perform routine tasks in the administration of employee benefit programs, including but not limited to: Medical Insurance, Retirement, Wellness, Healthcare Accounts, Life/AD&D, Disability, COBRA, etc.
- Participate in annual benefits renewal meetings with brokers and administrators.
- Lead the annual open enrollment process, including coordinating informational meetings, providing comprehensive employee support for benefit selections, and ensuring accurate data transmission to carriers through collaboration with brokers, insurance providers, HRIS representatives, and the HR/Payroll team.
- Manage the annual Health Fair by coordinating with vendors for biometrics screenings, flu shots, and other vendors.
- Create educational opportunities for employees to learn more about benefit offerings.
- Responsible for managing all aspects of the wellness program including working with third-party vendors, educating employees on incentives, and annual discounts. Works with the Director of Human Resources to coordinate wellness programming and activities throughout the school year.
- Serve as a Plan Administrator for the retirement plan by managing the day-to-day operations of the plan; acting as a fiduciary, ensuring compliance with regulations, processing of enrollments, overseeing distributions, completing annual audits, and working with third-party administrators and custodians. Completes annual non-discrimination testing for employer match, and annual disclosure notices.
- Responsible for the annual audit of the employee retirement plan including working with the outside auditors, providing required information and reports and reconciling annual 5500 reports.
- Responsible for educating employees on retirement benefits, while encouraging participation. Coordinates onsite retirement counseling sessions with a third-party vendor.
- Manages Short and Long-Term Disability and FMLA leave by verifying eligibility, ensuring receipt of medical certification, tracking absences, and working with a third-party vendor to adjudicate claims. Preserves the confidentiality of employee medical documentation and files related to FMLA.
- Serves as the point of contact for all benefits and medical leave inquiries. Provides timely responses to employees and supervisors.
- Works closely with the Payroll Specialist to ensure benefit premiums and leave of absences are processed timely and accurately on the bi-weekly and monthly payrolls.
- Process all workers’ compensation claims and assist injured employees with their claims to ensure a smooth transition back to work. Coordinates with CFOO to ensure notification of claims.
Training and Development
- Assign new employee training and annual compliance training.
- Present the New Employee Expectations training throughout the school year.
- Maintain accurate records of training completion in the HRIS system.
- Work with the Director of Human Resources on the implementation and development of training programs.
Employee Relations
- Serve as a point of contact for employee inquiries and provide timely and accurate information regarding HR policies and procedures.
- Assist with employee relations matters, including addressing concerns, and providing guidance to supervisors.
- Promote a positive and inclusive work environment.
- Ensure confidentiality and discretion with employee information, interactions and all Human Resource information.
Compliance and Record-Keeping
- Ensure compliance with all applicable federal, state, and local employment laws and regulations. Stays up to date on employment laws and industry best practices.
- Maintain accurate and confidential employee records both electronic and physical. Adheres to internal record-keeping requirements.
- Oversee the PreK Healthcare Renewal with the Department of Children and Families for state compliance.
- Responsible for completing annual audits related to I-9s, Retirement Plans, VECHS FDLE, etc. Provides required data to the independent auditors in a timely manner.
- Reconcile all benefit related invoices and submits for approval and payment in a timely manner.
- Responsible for submitting the annual EEO-1 survey.
Employee Support & Off-boarding
- Provides prompt, courteous, and efficient service to all employees and stakeholders.
- Addresses employee inquiries and concerns with professionalism and empathy.
- Builds and maintains positive relationships with employees at all levels of the organization.
- Acts as a primary resource for employees by providing expert guidance on school policies, procedures, and benefit offerings.
- Responsible for off-boarding employees by providing benefit-related information, assisting with exit interviews, and receiving all school related property.
Other duties as assigned by the Director of Human Resources.
