Description:
Topo Designs is seeking a Marketing Operations Coordinator to streamline our marketing functions and ensure operational excellence. This role will be the backbone of our creative operations, managing calendars, project managing photoshoot production, prioritizing projects, handling asset licensing and fi le management, administering our Asana project management system, and coordinating with vendors throughout our marketing processes.
Experience/Education Requirements:
- Bachelor's Degree in marketing or related field
- 1-3 years of relevant experience in project management across Marketing or Creative
Responsibilities:
GTM Calendar Project Management
- Maintain project planning calendars and master timelines for all GTM marketing initiatives
- Schedule and coordinate campaign and project meetings across departments as needed
- Track key milestone dates and ensure deadlines are communicated effectively to all stakeholders
- Photoshoot Production Planning & Oversight
- Manage product coordination for photoshoots including sample tracking and logistics
- Oversee photoshoot scheduling, resource allocation, and production timelines
- Coordinate product samples for photoshoots, PR activities, and seeding initiatives
Project Management & Prioritization
- Create and manage project workflows, timelines, and schedules using Asana
- Track progress of marketing deliverables from brief creation through final execution
- Facilitate weekly creative team meetings to review project status and prioritize upcoming deliverables
- Connect with stakeholders throughout the creative process to ensure timely approvals
Asset Licensing and File Management
- Implement and maintain our digital asset management system
- Coordinate proper tagging, organizing, and archiving of all marketing assets
- Manage licensing requirements for creative assets and track usage rights
- Traffic final assets to appropriate vendors and team members
PM Tool Management (Asana)
- Serve as primary administrator for the marketing team’s Asana environment
- Build and maintain project templates and workflows within Asana
- Train team members on effective Asana usage and best practices
- Generate reports to track project progress and team capacity
Vendor Management
- Serve as primary point of contact for marketing vendors and external partners
- Manage vendor contracts, timelines, payment and deliverables
- Ensure vendors receive proper briefs, assets, and feedback
