Summary:

The Field Service Administrator serves as a point of contact and administrative support to a team of local, remote and international managers and field service technicians.  As an integral role within our Service team, the Field Service Administrator independently executes our order entry and invoice processes.  This individual interacts with, and creates important connections with, external and internal customers including Finance, Sales, and Engineering.  

Essential Responsibilities:

  • Provide support to After-Market technicians and managers
  • Responsible for service sales order entry process
  • Responsible for ensuring technician time and expense transactions are processed and invoiced.  Provide solutions for customer invoice inquiries
  • Maintain order entry files for job/audit tracking
  • Investigate system or customer issues, resolve discrepancies and communicate resolutions
  • Update data and upload documents to systems including Sales Force, AX, FSA and SharePoint
  • Prepare correspondence for international travel requirements
  • Support service scheduling functions
  • Maintain contractor compliance tracking
  • Schedule and attend meetings as required
  • Other duties as assigned

Education and Experience

  • Associate’s or Bachelor’s Degree preferred; and minimum 1-5 years of experience in an administrative, service operations, or accounting capacity

Communication Skills

  • Excellent telephone, written and face-to-face communication skills

Reasoning Abilities 

  • Ability to independently define problems, collect data, establish facts, draw valid conclusions and communicate findings

Other Skills and Abilities

  • Advanced computer skills including competency with spreadsheets, word processing, graphs/charts, ERP systems, Web based scheduling and expense reporting software
  • Fluent in the use of Microsoft Word, Excel, PowerPoint, Outlook and Teams
  • Focused, detail oriented
  • Sense of urgency
  • Ability to work both independently and as vital part of team
  • Willingness to interact with and represent service in other departments as functions demand
