Executive Sales & Event Coordinator

Location: Chicago, IL 

FLSA Status: Non-Exempt 
Department: Sales & Strategic Partnerships & Events 
Reports To: VP of Strategic Partnerships & Events 

Position Summary 

We are seeking a highly organized and proactive Executive Project & Events Coordinator to support our Sales Executives and Strategic Partnerships & Events teams. This role is ideal for a detail-oriented professional with strong project management and event planning experience, who thrives in a fast-paced environment and enjoys working across teams and with high-level stakeholders.   

Essential Duties and Responsibilities 

  • Drafts, edits, and formats professional correspondence, presentations, and other documents. 

  • Manages complex calendars, schedules meetings and calls, and prepares agendas for internal and external engagements. 

  • Coordinates communications such as meeting notices and invitations on behalf of Sales Executives. 

  • Assists in planning and execution of client-facing events, including familiarization trips, advisory boards, and in-market activations. 

  • Partners with the VP of Strategic Partnerships & Events to execute event logistics—venue selection, invitations, registration, catering, AV, and transportation. 

  • Supports presentation development and contributes to strategic communications. 

  • Represents Sales Executives professionally in interactions with staff, clients, board members, and stakeholders. 

  • Collaborates with CRM and data teams to identify and share insights with internal and external audiences. 

  • Performs additional duties as assigned. 

Qualifications

  • Bachelor’s degree preferred, or equivalent practical experience. 

  • 3–5 years of experience supporting senior executives, event planning, or project management. 

  • Demonstrated success managing projects from start to finish; experience in events or hospitality is a plus. 

  • Strong organizational and time management skills with the ability to prioritize and meet deadlines in a fast-paced environment. 

  • High attention to detail and ability to manage multiple tasks independently. 

  • Proven ability to handle confidential information with discretion. 

  • Excellent communication and interpersonal skills; able to interact professionally with stakeholders at all levels. 

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with AI tools to enhance productivity. 

  • Willingness to work flexible hours as needed. 

 

Physical Requirements and Work Environment 

  • Ability to work at a computer and remain seated for extended periods. 

  • Occasional travel within the city required, including walking and standing for events. 

  • Must be able to attend evening and weekend meetings or events as needed. 

  • Requires fine motor skills for computer and office equipment use.
