Description

We are seeking a highly motivated and organized Front Desk Receptionist to join our team. This is an entry-level administrative position ideal for candidates looking to grow into administrative assistant roles within our dynamic, team-oriented environment. The Front Desk Receptionist will serve as the first point of contact for employees, guests, and clients, and play a critical role in supporting our day-to-day administrative operations.

This role requires strong communication skills, a friendly demeanor, basic computer proficiency, and the ability to multitask. This person must have a customer service spirit and thrive in a teamwork environment. It's a great starting point for building customer service and administrative experience.

 

ESSENTIAL JOB FUNCTIONS

  • Maintain and update Samuel resumes for staff as needed for project proposals and business development
  • Assist with the monthly Samuel newsletter and organize employee celebrations, such as birthdays and work anniversaries
  • Submit and track building work orders to ensure facility maintenance issues are addressed promptly
  • Oversee reception area management, ensuring a welcoming and organized space for guests and employees
  • Provide consistent front desk and phone coverage, directing calls and visitors with professionalism
  • Receive, log, and distribute all incoming shipments and deliveries
  • Manage conference room scheduling and support internal meeting coordination logistics
  • Distribute office-wide communications 
  • Coordinate emergency evacuations for the office
  • Support planning and execution of Lunch & Learn sessions and other employee events
  • Handle postage and outgoing shipping needs for the office
  • Prepare new hire name workspaces and welcome materials in coordination with HR
  • Organize and manage monthly celebration events, including refreshments, decorations, and coordination with department leads
  • Assist in forwarding building and medical emergency calls to appropriate contacts in a timely and accurate manner
  • Fleet vehicle coordination
  • Travel coordination
  • Safety PPE coordination

Qualifications

MINIMUM QUALIFICATIONS

 

Assistant Intern - Education = Junior or Senior in High School

Assistant IV - Education = High School Diploma

Assistant III - Education = High School Diploma; Experience = 2 years

Assistant II - Education = Associate's or Equivalent; Experience = 4 years

Assistant I - Education = Associate's or Equivalent; Experience = 6 years
