Job Summary:

This role is responsible for processing payroll, managing garnishments, and maintaining accurate and up-to-date HRIS information, specifically within Paycom. The Payroll and Position Management Specialist will ensure that all payroll-related data is accurate, timely, and compliant with federal, state, and local regulations, while also supporting position management and organizational structure within the HRIS system.

Key Responsibilities:

  • Payroll Processing: Accurately process bi-weekly payroll, ensuring timely and correct payment of salaries, garnishments, benefits, and taxes for all employees.
  • Garnishment Management: Process and track garnishments, ensuring compliance with relevant laws and regulations, and manage deductions for child support, tax levies, and other garnishments.
  • HRIS Data Management (Paycom): Maintain accurate employee information within Paycom HRIS, including updates to position management, job titles, departments, pay rates, and organizational structure.
  • Position Management: Work with HR to ensure positions are correctly set up and maintained in Paycom, reflecting accurate job codes, reporting lines, and compensation structures to impact workforce planning and budgeting.
  • Compliance: Ensure compliance with federal, state, and local payroll, wage, and hour laws, as well as best practices in payroll management. Address any issues or discrepancies with a sense of urgency.
  • Payroll Reporting: Generate and review payroll reports, including earnings, deductions, garnishments, and taxes, to ensure accuracy and compliance.
  • Employee Support: Address employee inquiries related to payroll, garnishments, deductions, or any HRIS-related issues. Provide clarity and resolution in a professional and timely manner.
  • System Improvements: Identify and recommend updates or improvements to payroll processing systems, HRIS, and workflows to increase efficiency and accuracy in payroll and position management processes.
  • Audit Facilitation: Assist with internal and external audits by providing records and documentation related to payroll, garnishments, and position management.
  • Year-End Processing: Assist in year-end processes, including the preparation and distribution of W-2s and other necessary payroll-related tax documents.
  • Additional Duties: Perform other related duties as assigned to support the overall payroll and HR operations.

Qualifications

Required Skills/Abilities:

  • Extensive knowledge of payroll processing, garnishments, tax calculations, and HRIS systems, specifically Paycom.
  • Strong understanding of position management, including job codes, pay grades, organizational structure, and compensation planning.
  • Proficient in using payroll software and HRIS systems.
  • Excellent attention to detail and strong organizational skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong communication skills, with the ability to interact professionally with employees at all levels.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong problem-solving and analytical skills.

Education and Experience:

  • Education: Bachelor’s degree in Accounting, Human Resources, Business Administration, or a related field preferred.
  • Experience: 3+ years of experience in payroll processing, HRIS management, or a similar role, with strong knowledge of Paycom HRIS and position management.
  • Certifications: Certified Payroll Professional (CPP) certification is a plus but not required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
