Position Summary: The Operations Manager serves as the face of the school with families, students, staff and visitors and is responsible for implementing effective and customer service-oriented operational office systems, including enrollment, attendance, inventory, records management, events and office reception. This is a 12 month position that is supervised by the Head of School.

 

Core Responsibilities: 

  • Enrollment
    • Manage the enrollment process including paperwork collection, seat offers and general communications
    • Complete and manage enrollment tracking systems
    • Work with Head of School around student recruitment and communications
  • Attendance
    • Ensure all teachers submit attendance in a accordance with school procedures
    • Distribute daily bulletin and make updates to attendance as required
    • Receive and code absence documentation and distribute truancy and attendance notifications to families
    • Work with Truancy Teams to confirm accuracy of records and truancy status
  • Supply Inventory and Orders
    • Order, restock and maintain general supplies
    • Order individual items and supplies as directed 
  • Student Record Management 
    • Create and maintain up-to-date student physical files with all required paperwork.
    • Ensure each file is in compliance for yearly audits and conduct outreach to families for missing required documentation
    • Enter and update as needed required student demographic information in Powerschool, the BCN student information system.
  • Events and Field Trips
    • Assist with coordination and planning of events including material organization, pre and post event set up and preparation of materials.
    • Outreach and coordination of field trips as the point of contact at the school.
  • Reception
    • Welcome and act as a school representative as the front lines of communication and interactions with families and partners
    • Improve, Implement and Execute visitor protocols with fidelity 
    • Answer phones, take/ distribute messages in timely manner, direct phone calls to appropriate staff
    • Manage student sales and cash collection processes in alignment with BCN Financial Policies
    • Maintain the cleanliness and organization of main office and shared spaces (outside of custodial duties)

 

Other duties as assigned by Supervisor and Network Leadership

 

Qualifications

Qualifications: 

Education and Experience: 

  • BA in related field preferred 
  • At least 3 years of work experience related to school operations
  • Experience using School Information Systems, preferable PowerSchool
  • Hold all required clearances to work in PA schools (Pennsylvania Child Abuse History Clearance (Act 151), Federal Bureau of Investigation Record Check Clearance (Act 114), Sexual Misconduct/Abuse Disclosure Clearance (Act 168))

 

Skills and Abilities: 

  • Proficient in Microsoft (word & excel)
  • Proficient in Google Suites
  • Ability to be flexible and work in busy environment
  • Overall pleasant demeanor
  • Must be able to work with children (ages infant - 18)
