Description of Responsibilities:

The Surgical Scheduler provides surgical scheduling support to physicians and staff.  This position will have knowledge of organizational policies and procedures, speak clearly and concisely, and provide exceptional customer service by establishing and maintaining effective working relationships with patients, and the public. The Surgical Scheduler will gather medical information and be able to exercise judgment, take initiative, and demonstrate appropriate decision making when needed. 

This position generally works normal business hours Monday – Thursday between 8AM – 4:30PM and Friday between 7:30AM and 4PM.  Flexibility in schedule is needed from time to time in order to meet business goals and provide exceptional patient service. 

Responsibilities include and are not limited to:

  • Communicating professionally with internal and external contacts and patients 
  • Providing attention to detail and accuracy in a fast-paced, multi-tasking environment 
  • Greeting patients and answering phones in a pleasant and professional manner 
  • Prioritizing work and handling heavy work volume  
  • Reviewing orders generated by clinics to ensure all criteria for surgery have been met. 
  • Scheduling and rescheduling patients for surgery and follow up visits. 
  • Organizing and coordinating surgeons allotted operating blocks and ensure they remain as productive as possible. 
  • Working with the surgeon to review upcoming cases to determine the need for additional information. 
  • Communication of preoperative instructions and the collection of patients' financial obligations.  
  • Gathering and documenting pre-operative day of surgery information for the ASC. 
  • Compiling and quality checking surgery charts for surgeons' OR blocks. 
  • Communicating with patients and the ASC about any changes to the schedule and surgery times leading up to surgery day. 
  • Working with the ASC to address any last-minute changes to the schedule and fill in any openings with add on surgeries.  
  • Maintaining awareness of current surgical order volume and working to ensure patients are getting the care they need in an efficient and timely manner.

Qualifications

Experience Requirements:

A minimum of one year of administrative experience is required. Intermediate skill level with MS Office Suite.

Educational Requirements:

Highschool Diploma or equivalent

Typical Physical Demands:

Requires normal range of vision and hearing for telephone and patient contact when scheduling surgery.  Work may require sitting and viewing computer terminal for extended periods of time.  Requires manual dexterity to operate a keyboard, telephone, copier, and other office equipment.  It is necessary to be able to handle multiple phone calls.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Typical Psychological Demands (in a usual workday):

Must possess excellent organizational and time management skills in order to handle multiple and sometimes conflicting tasks. Must be able to work with minimal supervision regarding time management and have the ability to consistently make sound, ethical decisions in emergency situations. Demonstrated ability to make accurate assessments while establishing and maintaining effective working relationships within the organization.
