Position Summary:
The Holton-Arms School seeks a collaborative, detail oriented, and organized professional to join our dynamic and highly successful development team. Reporting directly to the Director of Development, this full-time, salaried, exempt position represents the Advancement Center as a first point of contact. The person will assist the Director of Development and work collaboratively with members of the development team serving as a key partner in the office. The Administrative Assistant supports all development functions, including fundraising, constituent relations and advancement services.
General Responsibilities:
- Assure discreet and confidential handling of all business
- Participate in annual planning and implementation of goals and objectives in development and communications offices
- Support and staff events as required
- Maintain positive, professional working relationships with all school constituencies
- Perform other duties as assigned by the Director of Development
- Support the mission and values of the school
Administrative Assistant Responsibilities
- Serve as the initial point of contact for visitors to the Advancement Center
- Field and route telephone calls from the main Advancement Center line
- Assist with ongoing database projects such as updating constituent records; coding constituents; entering new information; lost alumnae research; assisting with research and profiles for Head of School and Director of Development
- Serve as a key partner to the Director of Development providing administrative support including management of various development calendars; compiling items for staff meeting agendas; maintaining the Development Office budget; and coordinating expenses and reimbursements for the Director
- Assist Program Directors in managing office activities
- Carry out special projects, as needed
- Coordinate all office mailings for successful distribution
- File/scan correspondence and maintain Advancement Center files as needed
- Manage Hang-Up (gently used uniforms)
- Manage returned mail process and distribute daily incoming mail throughout the school
- Assist with committee meetings, constituent meetings, phonathons, and special events including but not limited to Reunion Weekend, Blue White Night, Giving Days, and the Used Book Sale
Qualifications:
- Bachelor’s degree and/or at least three years of progressively responsible professional experience in administrative functions
- Integrity, warmth, confidence, a positive outlook, a solid work ethic, detail oriented, and a good sense of humor
- Commitment to provide a high level of professional service to internal and external customers
- Proven ability to balance short and long-term projects with excellent executive functioning and project management skills
- The ability to work collaboratively to organize, prioritize, and successfully execute multiple concurrent tasks; to anticipate needs and take action accordingly, and to perform with a high degree of initiative
- Demonstrated excellent interpersonal, verbal, and written communications skills
- Ability to maintain confidentiality, act with discretion, and maintain a high level of performance in a fast-paced work environment
- Enjoy working as part of a team, trying new initiatives, and comfortable with flexibility
- Presence onsite Monday through Friday 7:45 a.m. to 4 p.m., with occasional evening and weekend assignments as needed
- Strong proficiency in Google Workspace
- Ability to upgrade technical skills in order to meet changes in job requirements
- Experience with customer relationship management (CRM) software such as Raiser’s Edge, Veracross, Sales Force, or similar product is preferred
- Experience in a development/fundraising setting is preferred

The average salary range for this position is $60,000 to $70,000, the exact salary to be determined based on education and experience. This is a full-time 12 months position that is salary exempt.
