Position Overview
The Admissions Coordinator for Hospitality serves as the welcoming presence and primary point of contact for Holton-Arms School, embodying the school's mission and values in all interactions. This vital role provides comprehensive administrative support to students, parents, faculty, staff, and visitors, ensuring the smooth and efficient operation of the school's front office. The ideal candidate is highly organized, possesses exceptional interpersonal and communication skills, and is dedicated to creating a positive and supportive environment for the entire school community. This is a full-time 12 month position.
Key Responsibilities:
- Warmly welcome and greet all students, parents, faculty, staff, and visitors, managing visitor flow and ensuring a positive first impression while adhering to security protocols.
- Answer and direct incoming calls on a multi-line system, taking accurate messages and routing them appropriately.
- Respond to general inquiries from the school community and public, providing accurate information on policies, events, and procedures.
- Provide comprehensive administrative support, including photocopying, scanning, filing, data entry, managing mail, and assisting with school communications and event management.
- Address student needs such as responding to questions about late arrivals and early dismissals, handling general inquiries, and communicating with parents on student-related issues.
- Maintain a working knowledge of campus activities, faculty, staff, students, and parents.
- Stay informed about daily events, when to expect visitors, and where to direct visitors when they arrive.
- Ensure the reception area is tidy and organized.
- Maintain strict confidentiality regarding sensitive school information.
- Perform other duties as assigned.
Qualifications:
- Education: High School Diploma plus 3 years working experience required; Associate or Bachelor's degree or higher preferred.
- Experience: A minimum of three years of related work experience; prior school-related experience is a plus.
- Skills:
- Excellent verbal and written communication skills with a professional and friendly demeanor.
- Exceptional interpersonal skills, with the ability to interact effectively and with discretion, patience, and tact with diverse individuals.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple demands simultaneously.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace and comfortable with learning new school management software (e.g., Blackbaud, Veracross).
- Proven customer service orientation with a positive, upbeat personality.
- High level of attention to detail and accuracy.
- Ability to maintain composure and effectiveness under pressure.
- Ability to maintain confidentiality.
- Skilled in establishing and maintaining effective working relationships.
- Experience on a team and being a team player.
- Ability to communicate professionally and patiently in person, over the phone and in writing.
- Familiarity with the independent school environment and its unique culture is a plus.
Salary & Benefits
The average salary range for this position is $60,000 to $70,000, the exact salary to be determined based on education and experience. The salary range for this position will be commensurate with experience.
