Description

Job Summary:
The Assistant Director of People & Culture – Systems & Compliance leads the development and management of WeAchieve’s HRIS, policies, and compliance initiatives, with a core responsibility for benefits administration. This position optimizes the use of the HRIS system (Paycom), ensures compliance with federal, state, and local regulations, and oversee benefits programs to meet employee needs effectively. Working closely with the People & Culture team, this role enhances WeAchieve's HR operational efficiency, promotes best practices, integrity, and aligns policies with the organization’s mission.
 
Systems Management & Maintenance
  • Manage the configuration and optimization of HRIS to streamline HR workflows, data management, and reporting.
  • Collaborate with the People & Culture team to integrate HRIS functionalities into HR processes, enhancing recruitment, onboarding, and employee lifecycle management.
  • Ensure the accuracy, security, and compliance of HR data, maintaining system documentation and overseeing user access.
  • Develop user-friendly HR dashboards within HRIS to promote data transparency and support team members in achieving data-driven goals.
Compliance and Policy Administration
  • Partner with the Senior Director of People & Culture to assist the development and implementation of HR policies and compliance practices, aligning with federal, state, and local regulations (FMLA, ADA, EEOC, etc.).
  • Conduct regular audits to verify compliance, taking corrective action as needed, and preparing for external regulatory inspections reporting issue areas to department director for improvements.
  • Serve as liaison to third partner administrator to support the creation of compliance-related reports and documentation for annual compliance filings such as EEO-1, VETS 100 and other applicable reports.
  • Assist with compiling documentation for annual audits for retirement plan, OHCQ and QIO requests as needed.
Benefits Administration
  • Oversee the administration of WeAchieve’s benefits programs, including health, dental, vision, retirement, and voluntary benefits, ensuring a comprehensive and competitive benefits package.
  • Partner with the Senior Director of People & Culture to manage annual Open Enrollment and assist with ongoing benefits inquiries and issues, support employee understanding and engagement with benefit options.
  • Collaborate with benefits vendors and brokers, monitor regulatory updates, and make recommendations to ensure benefit offerings meet both organizational and employee needs.
  • Manage worker’s compensation administration, partnering with the People & Culture Generalist to ensure timely submission of claims, follow-up with employees on requested information and medical appointments.
  • Process and reconcile benefit invoices in a timely manner to ensure continuation of plans, ensuring accuracy with invoiced amount and benefit deductions.
Collaboration and Relationship Management
  • Build strong relationships with internal departments and external partners, including benefits vendors to support compliance and benefits administration.
  • Work closely with the Assistant Director of People & Culture – Professional Development and Employee Experience to align policies and practices that promote employee engagement and a positive workplace culture.
  • Foster partnerships with industry and regulatory organizations to stay updated on best practices in HR systems, compliance, and benefits.

Qualifications

Position Requirements

  • At least five years of experience in human resources, with a focus on HR systems, compliance, and benefits administration.

  • Proficiency with HRIS systems and experience in benefits program management.

  • Strong analytical skills with an ability to interpret HR metrics and data.

  • Excellent organizational, communication, and problem-solving skills.
