The Patria Office and Communications Assistant at Patria Church provides essential support across the People Operations and Creative departments. This cross-functional position ensures organizational efficiency, fosters smooth internal communication, and helps maintain a Christ-centered culture across teams. Key responsibilities include serving as a backup receptionist during staff breaks and absences, managing office supply inventory and shipment coordination, and supporting the development and delivery of internal messaging from leadership. The assistant will help coordinate internal communications such as newsletters, calendars, announcements, and promotional materials, as well as assist with project management through schedule tracking, resource planning, and documentation. Additional duties include basic troubleshooting of internal digital tools, maintaining records, and performing administrative task to support daily operations. This individual must be highly organized, adaptable, and committed to modeling servant leadership in every interaction. The Patria Office and Communications Assistant reports directly to the Office Supervisor.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide flexible support across multiple departments (People Operations and Creative) to ensure smooth daily operations.
  • Serve as backup receptionist during breaks, vacations, and absences, stationed at one of the designated reception workstations to ensure seamless transitions.
  • Interact professionally with guests, staff, and vendors through in-person, phone, email, and app-based communication.
  • Manage office supply inventory, track usage, conduct audits, and coordinate reorders and shipment logistics to support department needs.
  • Process and maintain operational documentation, including forms, reports, support requests, and invoices, ensuring accuracy and compliance.
  • Coordinate internal communication efforts such as memos, newsletters, calendars and announcements in alignment with organizational goals.
  • Coordinate the design and distribution of promotional materials for internal use, in coordination with the graphic designer.
  • Create, manage, track, and archive project management vehicles such as schedules, detailed plans, scope statements, cost estimates, and status reports for internal use.
  • Make recommendations related to schedules, prioritization, and resource allocation with input form internal team members.
  • Support the development and delivery of internal messaging from senior leadership and department leads.
  • Provide basic troubleshooting support for internal digital tools and communication platforms, including email, social media, and event platforms.
  • Support internal teams by assisting with scheduling, data entry, filing, and administrative duties as needed.
  • Foster a welcoming and responsive communication environment by addressing inquiries and resolving concerns efficiently.
  • Contribute to cross-departmental projects by assisting with task coordination, timeline tracking, and resource allocation recommendations.
  • Uphold the mission, values, and internal culture of Patria Church by modeling Christ-like character, flexibility, and servant-hearted leadership in all responsibilities.
  • Other duties as assigned.

Qualifications

EDUCATION, TRAINING, AND EXPERIENCE:

  • Able to successfully complete background investigation and drug screen.
  • Must possess strong computer skills, including proficiency with databases, and word processing software. Microsoft Suite software (Excel, Word, PowerPoint).
  • In-depth knowledge, demonstration, and execution of Patria Church vision & values, culture, ministry functions, processes, and procedures.
  • High school diploma or equivalent required. Associate or bachelor’s degree in communications, Business Administration, or a related field is preferred.
  • Minimum of 2 years of administrative, office coordination, or communications experience, preferably in a church, nonprofit, or fast-paced multi-departmental environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Drive).
  • Experience with project management tools (e.g., Trello, Asana, Monday.com) is a plus.
  • Familiarity with communication platforms (e.g., Canva, Slack) and social media tools is strongly preferred.

  • Ability to take initiative, be proactive in problem-solving, and support ministry needs without constant supervision.
  • Ability to represent Patria Church’s mission and values through professional and Christ-centered conduct.

 

 

ORGANIZATIONAL AND SPIRITUAL REQUIREMENTS:

  • Always demonstrate Christ-centered behavior by treating people with dignity, respect, compassion, and integrity.
  • Member of the Patria Church (or willing to transfer membership to Patria Church).
  • Pastors are required to attend all regularly scheduled Sunday and Wednesday church services. Support staff must attend at least one (1) regularly scheduled weekend church service.
  • Attendance at all mandatory meetings and events. This includes serving at Good Friday, Easter, and Christmas services as well as the annual volunteer appreciation event.
  • Regular involvement in Patria Church activities, ministries, neighborhood groups, and events.
  • Tithe 10% to Patria Church.
  • Signed acknowledgment of the Patria Church’s Statement of Faith.
  • Ability to interpret and adhere to Patria Church’s policies, procedures, and employee handbook.
  • Be self-motivated and goal oriented, use good judgment, and be flexible and innovative.
  • Professional attitude and demeanor.

 

PHYSICAL REQUIREMENTS:

Reasonable accommodation may be made to enable a person with a disability to perform the essential functions of the job. This position also may require long periods of sitting, standing, walking, and hand/eye coordination for keyboard data entry and viewing data on a computer monitor.
