Job Title: Donor Data Associate
Supervisor: Senior Manager of Giving Programs
Job Summary: The Donor Data Associate is responsible for supporting CRM Database administration, managing logistics for appeals and individual giving programs, and contributing to data tracking and reporting for these programs. This position will coordinate with other members of the Donor Programs and Data Team, Marketing Team, Donor Relations Team, and other community facing departments.
Minimum Qualifications:
- Bachelor’s degree or equivalent work experience
- Strong knowledge and understanding of CRMs
- Proficient in data entry and exceptional attention to detail
- Strong Microsoft Office skills required
- Ability to communicate tactfully and effectively, both verbally and in writing
- Ability to problem-solve and work independently
- Ability to prioritize tasks and balance multiple projects efficiently
Job Tasks:
- Maintains constituent records and assists in management and administration of CRM database
- Manages all database logistics related to the individual giving programs
- Monitors and reports on results of individual giving pledges, contributions, and retention
- Assists in coordination of individual giving campaigns and appeals from start to finish, including collaborating with Marketing team to ensure strategic alignment
- Assists in the tracking and analysis of individual giving campaigns and donor engagement activities
- Produces e-mail and mailing lists for all community-wide communication
- Contributes to data tracking of all donor data and collaborates with community facing departments to ensure data quality and accuracy
- Creates donation and registration pages for multiple departments as needed
- Processes and enters Guardian Angel gifts into CRM Database
- Issues Bi-Annual Statements to Guardian Angels and other statements as needed for additional giving programs
- Manages logistics for constituent cultivation efforts, including birthday cards, welcome email series and donor newsletters
- Assists with donor relations efforts by writing thank you notes and managing general donor emails and phone calls
- Assists in issuing weekly acknowledgement letters and tax receipts as needed
- Maintains data integrity by auditing the database on a regular basis and conducting clean-up projects to ensure clean constituent data, including de-duplication of donor records
- Recognizes opportunities for more efficient use of the database and communicates with Development staff to improve data tracking processes
- Updates documentation of database policies and procedures for training staff
- Monitors other staff usage of database and maintains data consistency
- Trains staff members on use of Virtuous database
- Generates timely reports including: monthly gift reports, quarterly development reports, and other reports as requested
- Assists Finance department with reconciliation
- Provides program coverage for forensic, therapy and medical cases, as needed
- Maintains a comprehensive knowledge of the mission, core values and vision of the organization and the children’s advocacy center model
