General Purpose:

This is a critical hybrid role, responsible for the administration, organization, and efficiency of data and processes for the mountain operations division (approx. 50%) while also serving as a key support partner to the General Manager (approx. 50%). Working directly for and closely with the Director of Mountain Operations, this position aids in the scheduling, recording, and maintaining of records for all Mountain Operations purviews. This position also provides high-level administrative support to the General Manager, managing scheduling, communications, and task prioritization to enhance the effectiveness of the executive office. This position collaborates daily with Mountain Operations Department Managers and must be able to manage sensitive information and shifting priorities with the utmost professionalism.

Essential Duties/Responsibilities

Mountain Operations Administration (50%)

  • Assist Director of Mountain Operations in communications with CPTSB and in maintaining State Lift regulatory compliance.
  • Track maintenance and parts inventories for lifts, snowcats, snowmobiles, heavy equipment, etc.
  • Maintain strict records for inspections, both in-house and third party (CPTSB, NDT, etc.).
  • Monitor use, access, and execute recordkeeping for fuel management system.
  • Prepare and process US Forest Service reports.
  • Track and manage snowcat downtime and snowmaking reports.
  • Create and manage PO’s for Mountain Operations departments.
  • Monitor work orders for Mountain Operations activities.
  • Develop periodic reports for the Director of Mountain Operations as assigned.
  • Digitize and organize departmental records, including training records.
  • Maintain up to date knowledge of ski area best practices with particular attention to Mountain Ops.Work with accounting to set up new Vendors
  • Work with Risk management to ensure contracts are signed and Certificates of insurance are secured for work being done.

General Manager & Executive Support (50%)

  • Manage and organize the General Manager's dynamic schedule, including coordinating meetings, appointments, and travel.
  • Monitor and manage the General Manager's email inbox; proactively filter, flag, reply to, and prioritize correspondence as appropriate.
  • Assist the General Manager with task prioritization, project tracking, and deadline management, especially in the Mountain Operations department.
  • Act as a professional point of contact and "gatekeeper" for the GM's office, interacting with internal and external stakeholders.
  • Keep sensitive company-wide and operational information confidential and secure at all times.

Qualifications

Qualifications

  • Must be 21+ years of age with reliable transportation
  • High School Diploma or GED required
  • 2- or 4-year college degree preferred
  • Proven working experience in ski area operations is preferred, particularly in mountain ops and/or administrative duties.
  • Demonstrated experience in an executive assistant or high-level administrative support role is strongly preferred.
  • Proficiency with computer systems, scheduling, databases, inventory, etc.
  • Proficiency with Google Workspaces (Calendar, Inbox Management).
  • Strong attention to detail and organization.
  • Exceptional discretion and a proven ability to handle highly confidential information.
  • Excellent communication and interpersonal skills, with the ability to serve as a professional representative for the GM's office.
  • A professional, positive and enthusiastic attitude

          

Working Environment/Physical Activities:

The Mountain Operations Administration Manager position is based primarily inside, but may also be outside and exposed to temperature extremes (above 85 degrees and below 20 degrees), sun and wind exposure, inclement weather (rain, snow, ice) and high altitudes.
