Oversees programs within the Golf Operations department, collaborating closely with Golf Shop Supervisors and staff across all seven golf courses. Works in coordination with other RCSCW departments to support the administrative needs of the Golf Operations Manager. This position reports directly to the Golf Operations Manager. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: (This list is not intended to detail all aspects of the assigned work but is representative of the job’s overall responsibilities.)

  • Supervises, trains, schedules, and reviews the work of all seasonal Call Center and Data Entry staff.
  • Using technology, creates and manages shift schedules for staff. Reviews and approves bi-weekly timecards. 
  • Appropriately responds to heavy email traffic from staff, group and league monitor’s and community members. As necessary, elevates concerns directly to the Golf Operations Manager. 
  • Organizes and maintains electronic file systems, as well as paper documentation. 
  • Administers the Group Play Program, including collection of scheduling data and rosters from monitors, development of weekly play schedules every 8-12 weeks, dissemination of individual schedules to the monitors (and players as needed), daily receipt of groups’ pairing sheets and changes.
  • Maintains and updates a Master Schedule of golf course events and activities, including Special Events, Tournaments, Outings, Group Play, Green Team, Men’s Niners, and course closures. A Master Schedule is maintained for all golf courses combined and individually.
  • Schedules and contracts for small tournaments and outings, interclub play, and special promotions in conjunction with the Golf Operations Manager. 
  • Write and publish golf-related stories for various media platforms on a weekly basis. 
  • Create informational slides and distributes to each golf course manager for TV display. 
  • Researches and resolves questions, issues, and complaints from residents by phone, email and in person on a wide variety of golf-related subjects including usage of TEI online portal, medical flags, fees, and charges.
  • Assists residents with the purchase and cancellation of advance tee times through the Family Golf Pass Program.
  • Follows proper End of Day procedures to account for the purchases and returns. Maintains a log of all Family Golf Pass tee time purchases/cancellations.
  • Performs a monthly reconciliation  and documents  promotional and complimentary golf rounds from each golf course.
  • Updates golf courses current golf fees, tee times and promotions providing relevant pro shop signage and customer handouts.
  • Coordinates and arranges Golf Operations meetings, agendas and performs facility set up. 
  • Receives hole-in-one information from each golf course, provides and publishes weekly listing to e-news and the Rec Center News.
  • Coordinates the ordering of print materials (scorecards, business cards, lottery slips, etc.), employee badges, employee uniforms, office supplies and arranges for equipment maintenance.
  • Creates and maintains promotional calendar on website and social media outlets.
  • Requires significant interaction with community members who use the golf facilities and an ability to deal personally and professionally and in a courteous manner.
  • Collaborate with the Golf Operations Manager to maintain and perform a periodic review of the  Golf Operations procedural reference guide and starter handbook providing updates, replacing materials, and revising policies and procedures. Maintains alcohol and food handlers license log for all areas of Golf Operations. 
  • Maintains a consistent record of onsite acceptable attendance and punctuality according to policy guidelines and can work a flexible work schedule to include evenings, weekends and holidays as needed.

CERTIFICATES, LICENSES, REGISTRATIONS 
•    Maintain a valid Arizona driver's license and good driving record for insurance purposes.
•    Obtain and maintain a Food Handlers Card within 30 days of hire.
•    Obtain and maintain a current and valid Arizona Title 4 Basic Liquor Law Training Certification within 30 days of hire.


SUPERVISORY RESPONSIBILITIES 
This position supervises and directs staff. Supervisory responsibilities include planning, directing, interviewing, hiring, training employees, discipline action and evaluation of staff using performance evaluations, partnering with the appropriate departments to provide wage changes and adjustments.

EDUCATION and/or EXPERIENCE
(Sufficient Training and education to demonstrate possession of required knowledge, skills and qualifications are required.) 

  • Professional Golf Association member in good standing or extensive background in golf course management.
  • Bachelor’s degree (B.A.) from four-year college or university in business or recreation field
    • An equivalent combination of education and experience equaling a minimum of five years may be substituted for educational requirement. 
  • Must have advanced knowledge of Microsoft Office Suite with an emphasis on Excel, PowerPoint, Outlook, and Word. 
    • Knowledge of POS systems, Paycom, and TEI program a plus. 
  • Must have experience with various office equipment including but not limited to computers, printers, and copiers.
  • Complete working knowledge of the game of golf, handicap, and golf tournament administration.
  • Supervisory experience in a golf operations environment required.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Specific knowledge related to golf course operations including course conditions, golf leagues, marketing functions with golf events required.


PHYSICAL DEMANDS

Work is conducted in a dynamic, fast-paced office, golf course and facility setting with moderate to loud levels of noise. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

The following are representative illustrations of requirements-sitting or standing for extended periods of time primarily in an office setting but at times in offsite locations to and from their assigned work area. Work involves walking, talking, hearing, using hands to handle, feel or operate objects and tools to include computers and office equipment. Vision abilities include close vision, peripheral vision, depth perception and the ability to adjust focus. 


The employee must regularly lift and or move up to 50 pounds independently and occasionally lift and/or move up to 100 pounds with assistance. 

WORK ENVIRONMENT 
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. 

The noise level in the work environment can be moderate or louder depending on the venue.

Work is expected to be performed from an office setting and golf course venues that are both indoors and outdoors.
