Job Description Summary: 

The General Clerk III position is a service contract position for the Army National Guard.  This position is primarily responsible for performing highly complex work of indexing and transferring information from scanned images into electronic and digital formats in the customer provided computer system.  This position must also comply with the Army National Guard’s rules and regulations, and quality, metrics, and productivity requirements. 

The General Clerk III must set a good example and constantly demonstrate the Light (LIGHT) Principles of Leadership, Integrity, Growth, Humility and Trust. It is important for individuals to be committed to a continuous learning environment and a champion for change, with a teamwork mentality,

To enable and empower people who are blind or low vision to realize their full potential. 

 

Roles and Responsibilities: 

  • Follows all safety protocols and guidelines for promoting a safe work environment and apply good day to day housekeeping of work area. 

  • Ensures that all scanning and indexing of documents is entered accurately and meets the expectations of the internal and external customer. 

  • Ensures that productivity metrics are met established by the customer and quality of work meets the required standards of the customer. 

  • Ensures that information is safeguarded and secured at all times and meets all HIPPA regulations and confidentiality requirements. 

  • Responds to requests by preparing and sending files and documents to the customer when requested. 

  • Performs job duties under specific federal, state, and departmental quality control standards and procedures. 

  • Ensures that all deadlines are met by the customer and tasks are completed in a timely manner. 

  • Recognizes and assesses issues associated to the task following work instructions as outlined by the line of business and escalates when necessary. 

  • Records and input information into internal database systems. 

  • Deliver high-quality customer service through deep commitment to knowledge and performance with minimal or no errors. 

  • Follows all confidentiality rules to preserve data quality and reduce chance for information or compromise. 

  • Indexes the image appropriately by selecting the correct patient encounter or document type. 

  • Contributes to team effort by accomplishing related results as needed. 

  • Must be able to complete government and background checks and screening as required to work on the federal contract. 

  • Perform other related job duties as needed. 

Qualifications

Education, Licensure and Experience: 

  • High school diploma or GED 

  • Previous experience in an administrative or documentation position preferred. 

  • Prior indexing and data entry skills are preferred. 

  • Government clearance and federal credentials are required and can apply through organization.  

Knowledge Skills and Abilities 

  • Must be able to meet the ARNG quality, metrics and productivity requirements. 

  • Must be able to meet ARNG rules and regulatory compliance. 

  • Strong organizational skills and ability to pay careful attention to detail for extended periods of time. 

  • Ability to navigate between multiple software to retrieve information and accurately document information on the digital file. 

  • Ability to use assistive technology software, Microsoft Office Software, and provided customer computer and software with proficiency. 

  • Requires self-motivated, proactive and self-governing skills. 

  • Ability to operate and communicate effectively with others. 

  • Must be able to work individually and in a team setting. 

  • Ability to multi-task in a fast-paced environment and meet customer deadlines. 

  • Able to work with confidential documents and sensitive materials. 

  • Ability to prioritize and work at a high degree of accuracy and attention to detail. 

  • Demonstrates effective problem-identification, problem-solving, and priority -setting skills. 

  • Good time management skills. 

  • Ability to work with minimal supervision and keep supervisor updated of documentation workload. 

  • Ability to work independently or in a team setting. 

 

Supervisory Responsibilities: 

  • This position has no supervisory responsibilities. 

 

Physical Demands and Working Conditions 

The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities. 

  • This position requires prolonged periods of sitting and frequent use of the computer for keyboarding and data entry. This position may also require some lifting of boxes of 10 to 40 pounds. Lifting assistance can be provided for boxes greater than 50 pounds.
