Job Summary                                                                                       

The 811 Coordinator plays a critical role in ensuring safe excavation practices and best-in-class customer service for Moon Valley Nurseries. This position is responsible for managing all 811 utility locate requests, coordinating with utility companies, and supporting General Managers and operations staff to ensure projects are completed on time, safely, and in compliance with regulations.

In addition, the 811 Coordinator supports overall nursery operations by assisting in customer service, logistics, and quality assurance initiatives, acting as a liaison between field operations, retail locations, and corporate leadership. This role requires excellent attention to detail, organizational skills, and the ability to manage multiple priorities while maintaining outstanding service standards.

 Key Duties and Responsibilities                                                                                       

 811 Ticket Management

• Submit and manage all utility locate requests using the ESTAKE 811 system.
• Verify and map customer addresses, ensuring accuracy and compliance with utility regulations.
• Track confirmation codes, ticket numbers, and utility responses; follow up with companies or locators when necessary.
• Communicate ticket details with internal teams, including project managers, GMs, and installation crews.
• Maintain organized records of all tickets and ensure required timelines (minimum 48 hours) are met.

  Operational & Customer Service Support

• Provide oversight and support for assigned operations functions in partnership with the General Manager.
• Assist with compliance by supporting company policies, procedures, and safety practices.
• Help coordinate logistics and communicate project readiness to installation teams.
• Maintain professional communication with customers, homeowners, and utility providers.

  Quality Assurance & Reporting

• Monitor ticket activity and utility company responses, escalating issues as needed.
• Assist in training staff on 811 processes, safety standards, and customer service best practices.
• Support tracking of project quality, safety, and customer satisfaction metrics.
• Provide feedback and recommendations for process improvements.

Qualifications: Knowledge, Skills & Abilities                                                                             

• At least 2 years of experience in retail operations, landscaping, or a related industry.
• Experience in administrative coordination, logistics, or utility locating a plus.
• Strong computer proficiency, including web-based portals, Microsoft Office (Excel, Word, Outlook), and mapping tools (Google Maps).
• Excellent organizational skills with strong attention to detail.
• Ability to handle multiple projects with tight deadlines.
• Clear and professional communication skills (written and verbal).
• Strong customer service orientation with problem-solving ability.
• Supervisory or lead experience preferred.
• Ability to work independently and proactively while supporting team goals.
• Comfortable navigating 811 systems, mapping tools, and administrative workflows.
• Strong interpersonal skills to communicate with customers, utility providers, and internal teams.
• Understanding of landscaping, nursery operations, or construction safety practices a plus.
• Self-motivated, with the ability to act as a representative of Moon Valley Nurseries’ commitment to safety and customer care.
• Interact with clients regarding their installation
• Support additional tasks and initiatives as assigned. 

Education                                                                                       

High school diploma or equivalent required; some college preferred.

 Physical requirements/Working Conditions                                                                                       

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
