JOB SUMMARY:

The Executive Operations Manager is an administrative support partner to the Officer Team, responsible for assisting with organizational priorities, streamlining operations, and ensuring effective execution of key initiatives. This role serves as a force multiplier for the Officer Team—facilitating communication and fostering alignment of strategic planning.

 

JOB FUNCTIONS AND RESPONSIBILITIES:

  • Strategic Administrative Support for the Officer Team: Helping prioritize and manage strategic initiatives, cross-functional efforts, travel, calendars, and meeting coordination.
  • Executive Team Alignment: Ensure coordination and alignment across departments; support effective communication, meeting cadence, and project tracking.
  • Project & Program Management: Support high-priority projects, including accountability, timelines, and deliverables across the organization.
  • Internal Communications: Draft communications, presentations, and briefings for officer use; foster transparency and engagement across all levels of the organization.
  • Operational Efficiency: Identify process improvements, remove roadblocks, and support implementation of systems that drive productivity and performance.
  • Meeting & Event Planning: Manage executive leadership meetings, offsites, and company-wide events—ensuring strategic agendas and outcomes.
  • Reports: Prepare reports, score cards and other performance monitoring tools. Synthesize data, make analytical observations, and prepare summaries.
  • Special Initiatives: Lead or support ad hoc initiatives that span departments or require high-level oversight, research, or coordination.

Qualifications

EDUCATION/EXPERIENCE:

  • Bachelor’s degree required, MBA or similar advanced degree preferred.
  • 7–10 years of relevant experience with executive support or organizational leadership. 5+ years of executive-level administrative support experience; nonprofit experience a plus.
  • Experience with Entrepreneurial Operating System or other structured management system.
  • Experience managing multiple executives and complex schedules.

  • Exceptional written and verbal communication skills.
  • Strong project management and organizational skills.
  • Ability to manage competing priorities with discretion and professionalism.
  • Proven ability to work cross-functionally and influence without direct authority.
  • Highly adaptable, resourceful, and emotionally intelligent.
  • Proficiency in Microsoft Office Suite
