Job Description
We are seeking a highly organized and detail-oriented individual to join our team as an Optical Assistant to help the department run the operations smoothly while helping with clerical support, including data entry, scanning and shipping. The ideal candidate will have a passion for administration and sales with excellent communication skills, and preferably a strong understanding of eyewear fashion and trends. This role is integral to providing exceptional customer service helping the department and its operations run smoothly.
Duties & Responsibilities: Report to Optical Manager
- Assisting the department with scheduling delivery to patients and doing follow up with texts and calls to ensure they received their package.
- Processing A/R for insurance and patient balances and maintaining within the organization guidelines.
- Assisting patients with ordering Contact Lenses for both offices.
- Dispatching calls to the appropriate departments while handling optical billing questions form patients.
- Helping in measuring and verifying prescriptions for sales orders.
- Dialing and receiving calls and text messages from / to patients as necessary and scheduling pick up times for their contact lenses.
- Keeping the order status on FlexSys up to date for glasses and contacts.
- Providing help on the floor to Optical Sales Associates when needed and as directed by the manager.
- Processing remakes when needed to help sales associates.
- Helping customers choose eyeglass frames and lens treatments that best fit their vision needs and lifestyle.
- Receiving and entering products that have been delivered to the department, into the system in a timely manner.
- Supporting all laboratory sample-related activities, including preservation, preparation, processing and maintenance.
- Helping the optical department stay clean, organized and make sure the desks, windows, frame boards and overall office are neat.
- Maintaining and updating appropriate documentation and databases.
- Producing and submitting daily and weekly reports to the manager and loading them into the system for review and data analysis.
- Supporting team member engagement within all areas of responsibility to enable the application of policies, procedures, and compliance.
- Continuing to process the sales made by the sales associates and maintaining exceptional customer service and customer satisfaction in helping deliver the final products to the patients.
- Supporting and processing other work as assigned.
Qualifications:
- High school diploma or equivalent with at least 3 years of optical lab experience.
- An associate degree or certification with at least 1 year of experience in the field.
- Passion for sales and great customer service.
- Ability to learn and adapt to company systems, strategies, and processes.
- Optical sales experience is a plus, but we are willing to train the right person.
- Knowledge of ophthalmology and medical terminology is a huge plus.
- Experience with POS system is highly encouraged.
- Previous sales experience in retail, preferably in the optical industry.
