JOB STATEMENT
The Individual Giving Associate plays a significant role in the cultivation and stewardship of all Alley Theatre donors and prospects. This person is responsible for the planning and execution of select patron events throughout the year and oversees the Alley Theatre’s annual stewardship strategy and calendar of activities, increasing donor engagement.
JOB DUTIES
- Responsible for the annual Sustainer program of recurring donors.
- Increasing the number of annual sustainers through emails, phone calls, and direct mail.
- Stewarding current Sustainers with emails and phone calls.
- Maintaining current Sustainer reports in collaboration with the Database Manager.
- Maintaining and refreshing website verbiage as it relates to the Sustainer program.
- Manage a portfolio of 50-75 individual donors who have the capacity to give up to $2,500 annually.
- Execute monthly renewal letters for Annual Fund donors, including Sustainers.
- Implement stewardship and cultivation steps for all donors who give up to $2,500 annually. Duties include:
- Working with Alley Individual Giving Officers, Individual Giving Committee members, telefunding partners, and others to conduct thank-you calls and send out thank-you note cards.
- Send follow-up thank-you notes to all who attended a patron event.
- Under the direction of the Director of Individual Giving, create and distribute stewardship emails to current and lapsed donors.
- Coordinate and implement Individual Giving patron events, such as Individual Giving Committee Meeting and receptions. Duties include creating and mailing invitations, managing RSVPs, coordinating invitation follow-ups, coordinating event logistics, attending and ensuring accurate execution of the events, etc.
- Manage all on-line giving forms for the website and general communications with donors.
- Generate distribution lists and create distribution materials for Individual Giving communications, such as End-of-Season campaign, End-of-Year campaign, patron event invitations, and other stewardship materials.
- Manage data and tracking for Annual Fund and Individual Giving
- Coordinate Individual Giving activities, such as sending out Connie and Roger Plank Family Greenroom schedules for all Hubbard Theatre productions.
- Attend patron events throughout the year to ensure that all donors are properly cultivated.
- Manage the telefunding efforts in partnership with Blueprint Advancement.
- Undertake Greenroom duty as required by all department members.
- Actively participate in proofing of the annual report and Playbills.
- Other duties as required and assigned.
