Job Description

STATEMENT OF PURPOSE: Responsible for timely processing of various activities as outlined below in the accounting department.  Main functions related to government (and other funders) grant reporting, processing, and completing applications.

 

SPECIFIC ACTIVITIES INCLUDE, BUT ARE NOT LIMITED TO:
  • Prepares all governmental grant (city, state, federal) and commercial contract billings as needed on a bi-monthly, monthly or quarterly basis. Submits proper forms and supporting backup as directed in the contract.  Enters billing into accounting system.
  • Works closely with governmental agencies on both the finance and program sides to ensure contracts are fulfilled.
  • Works closely with internal program counterparts and commercial client liaisons (as needed) on both the finance and program sides to ensure contracts are fulfilled.
  • Keeps in-house staff informed of any changes regarding the contract as well as unspent funds and personnel allocations.
  • Works closely with Advancement team, staff from program departments and staff of the granting agency to prepare all budgets and accompanying paperwork for all contract renewals.
  • Prepares Quarterly State Use Reports.
  • Maintains PAR (Personnel Activity Report) Worksheets.
  • Prepares grant budgets.
  • Acts as backup to Accounts Receivable Accountant.
  • Prepares Monthly Grant and General Ledger Account Reconciliations.
  • Monitors accounts receivable for call center customers and government agencies and follows-up on past dues as needed.
  • Assists in the preparation of year-end audit schedules.
  • Performs other duties as assigned by supervisor.

QUALIFICATIONS:
  • Bachelor’s degree in accounting.
  • Previous experience with governmental grant processing in a non-profit setting.
  • Three to five years of experience in general accounting and/or financial analysis required.
  • Must be able to work independently and handle multiple projects.
  • Strong technical, analytical, and communication skills needed.
  • Proficiency in computerized accounting systems (Sage Intacct a plus) and spreadsheet applications required (Word and Excel).
