The Office Support Staff provides essential administrative and operational support to ensure smooth daily operations of the assigned office. This position manages a variety of general office activities, including scheduling, client support, financial processing, and facility oversight. The role requires the ability to work independently, maintain a highly responsive relationship with staff and clients, and uphold professional and efficient office standards. The Office Support Staff reports directly to the appointed Director or Clinical Supervisor at the assigned location.

 

Schedule: Monday through Thursday, 5:00PM - 8:00PM (12-15 hours per week)


Essential duties and responsibilities


Responsibilities include the following, and other duties may be assigned:

  • Analyze and organize office operations such as information management, filing systems, requisition of supplies, and other clerical services.
  • Maximize office productivity through proficient use of appropriate software applications.
  • Maintain contact with customers and outside vendors; coordinate the ordering of supplies and materials.
  • Monitor the security of the facility and its equipment.
  • Review staff weekly schedules, ensure coverage, call clients to confirm daily appointments, and note cancellations.
  • Collect in-person client fees, record payments in the electronic health record system, and submit transmittal forms to the fiscal department.
  • Complete initial insurance verifications for clients as assigned.
  • Support clinical team by ensuring timely scheduling of clients referred through the 988-Crisis Line and other triaged cases.
  • Coordinate office coverage regarding vacation and leave schedules.
  • Deliver or assign delivery of interoffice mail weekly.
  • Maintain files of agreements, important documents, CARF standards, and funder reports.
  • Monitor overall office environment to promote staff professionalism and client decorum.
  • Develop positive relationships with building management and promptly report facility issues to the JCS Facility Manager and building manager.
  • Disseminate and collect client satisfaction surveys.
  • Answer multi-line telephones, direct calls, and respond to routine inquiries with standard answers.
  • Prepare written or dictated correspondence, proofread, and finalize documents accurately.
  • Ensure adequate copies of office forms and supplies.
  • Requisition supplies, printing, maintenance, or repairs either independently or through the Administrative Office.
  • Complete other tasks or projects as assigned by direct supervisor.

Qualifications

  • High school diploma or GED, plus related experience/training, or an equivalent combination of education and experience.
  • Strong reading, writing, and verbal communication skills, with the ability to prepare reports and interpret written/oral instructions.
  • Proficient in basic math (rates, ratios, percentages) and problem-solving in varied situations.
  • Competent in database, spreadsheet, and word processing software; excellent typing and proofreading skills.
  • Strong organizational, multitasking, and time-management abilities; able to work independently and maintain confidentiality.
  • Fluent in English; Spanish or other language skills a plus.
  • Reliable transportation and ability to work scheduled hours, including up to four (4) evenings per week.
