SUMMARY
The Administrative Assistant maintains medical records and executes various administrative functions for the purpose of supporting program operations. They help create a welcoming, trauma sensitive atmosphere, and provides general program information to consumers and the community. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. ESSENTIAL ROLES AND RESPONSIBILITIES
- Maintains an accountable and fiscally responsible client billing system - Completes and submits client billing in a timely and accurate fashion per program guidelines
- Determines client eligibility for services through checking SmartCare and Medi-Cal databases
- Maintains current and closed medical records per county and SDCC guidelines - Acts as custodian of department documents and records, and takes appropriate measures to ensure confidentiality of client records at all times
- Provides administrative and quality improvement support for the program
- Assist with scheduling appointments for psychiatrists and informs all related parties of the upcoming appointments
- Provides a welcoming atmosphere and greets clients as they come into the office for appointments
- Routes incoming and outgoing mail to appropriate persons, and responds to phone calls and email messages in a timely fashion (within 24 hours) - Maintains communication with supervisor re: any new information of note received via phone/mail
- Manages department client and staffing databases
- Manages outcomes data collection and ensures that data is accurate for quarterly data uploads
- Maintains office equipment and orders office supplies for department
- Alerts program management of any unsafe equipment or other office hazards, and fills out monthly Environmental checklist for the Safety Committee
- Ensures all necessary fiscal/billing, demographic, and other client support data is accurate and run reports for managers on timeliness and productivity of staff
- As training/experience allows, complete CMS-1500 billing for youth with private insurance
- Maintains on-going client record-keeping and tracking system, and notifies program staff as deadlines approach
- Attends various County Mental Health, Full Service Partnership, mHOMS, and User Group meetings
- Attends bi-monthly admin supervision meetings
- Fulfills all required training including Smart Care, HIPAA, and cultural competency
LANGUAGE SKILLS
Ability to read, analyze, and interpret medical records, journals, reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to management and public groups.
