Job Summary:

The Purchasing Assistant is a highly organized, detail-oriented individual that provides administrative and operational support to the Purchasing Department. This role is essential in helping maintain accurate merchandise records, streamline purchasing processes, and ensure merchandise is available and properly represented to support company goals and customer satisfaction.

Duties/Responsibilities:

  • Assist the Purchasing Department with administrative support and day-to-day purchasing operations.
  • Prepare and enter purchase orders, including price change updates and product data entry.
  • Create, update, and maintain merchandise analysis reports using excel and internal purchasing systems.
  • Assist in developing and implementing plan-o-grams in coordination with the Purchasing Department and Store Personnel.
  • Monitor and help resolve inventory and purchasing discrepancies.
  • Assist with maintaining official purchasing records and documents.
  • Travel occasionally, as required, for meetings, store openings and resets or vendor- related activities.
  • Perform other duties as assigned

Required Skills/Abilities:

  • Able to use related computer applications.
  • Well organized and detail oriented
  • Able to coordinate and communicate well with other departments and store personnel
  • Solid math skills

Essential Functions:

  • Assist Purchasing Department as necessary.
  • Compile meeting notes/action items; follow-up on action items.
  • Follow-up on items as assigned by Director of Purchasing.
  • Assists in plan-o-grams as needed, coordinating with the Purchasing Department to ensure the plan is effectively implemented.
  • Some travel required • Attends meetings as required
  • Assists in tracking purchasing and inventory problems or discrepancies.
  • Assists in entering data of items not currently in database; updates as needed

Qualifications

Education and Experience:

  • Education: High School Diploma. Two years of college preferred; however, not required.
  • Required Knowledge: Knowledge of vendor sources and products.
  • Experience required: Retail experience required. Visual merchandising experience preferred.

Physical Requirements:

  • Sedentary work; sitting most of the time. Able to lift up to 15 pounds at times.
