Position Summary 

The Scanner Program Trainer & Administrator will own the execution, training, and administration of the Catalis multi-brand scanner program. This role is essential to scaling digital dentistry adoption across our brands by ensuring consistent deployment, training, usage tracking, and operational oversight.
 

The ideal candidate is part trainer and part administrator, comfortable traveling to dental offices for installations and hands-on training while also managing the operational, scheduling, and reporting backbone of the program.

Key Responsibilities

  • Travel to dental offices for onsite scanner installations and staff training
  • Deliver virtual follow-up training sessions to reinforce usage and digital adoption
  • Evaluate office readiness and identify workflow/process gaps
  • Maintain scanner placement trackers, deployment logs, and usage dashboards
  • Manage scanner inventory, device shipments, and assignment across brands
  • Prepare billing workflows, credits, and chargebacks in coordination with Sales Ops and Accounting
  • Coordinate deployment schedules, office communication, and training completion
  • Work with brand GMs and corporate accounts on deployment priorities and escalations
  • Serve as liaison with scanner vendors for troubleshooting, replacements, and software updates
  • Develop and maintain SOPs, training guides, onboarding documents, and readiness checklists
  • Provide reporting on adoption trends, usage metrics, training completion, and escalations
  • Identify opportunities to streamline workflows and expand scanner utilization

Qualifications

Minimum Qualifications

  • 2+ years of experience in dental, orthodontic, medical device, or healthcare environments
  • Experience training dental teams or working chairside in a clinical setting
  • Ability to travel heavily (up to 70%)
  • Strong verbal and written communication skills
  • Comfort with technology, imaging software, and Microsoft Excel
  • Strong organizational skills with attention to detail and follow-through
  • Ability to troubleshoot hardware/software issues and coach offices through solutions

Preferred Qualifications

  • Hands-on experience with intraoral scanners such as Medit, iTero, Carestream, or 3Shape
  • Experience with digital dentistry workflows or product training
  • Program administration or deployment coordination experience
  • Experience with CRM platforms (HubSpot preferred) and BI/reporting tools (Power BI, iCortica)
  • Experience supporting DSOs or multi-location practices
  • Ability to create SOPs, training guides, and educational content
  • Knowledge of Magic Touch or similar lab management systems
