Position Overview: Executive Assistant

We are seeking a highly professional and experienced Executive Assistant to support the Executive Leadership Team and play a key role in ensuring our administrative operations and office environment run smoothly. This individual will be instrumental in maintaining day-to-day efficiency while providing high-level administrative support to senior leaders across the organization. This in-office, part-time role offers a unique opportunity for someone familiar with the Home Health and Hospice or related industry to contribute meaningfully in a dynamic healthcare environment. 

The ideal candidate will be proactive, resourceful, and service-oriented—comfortable managing calendars, coordinating administrative functions, and being the first face of SilverStone Health for visitors and inbound business callers. This individual will also support team members across departments (including Hospice and Home Health), help facilitate onboarding, and assist with general office operations.

Education/ Licensure

  • High School Graduate

Key Responsibilities

  • Provide high-level executive support to the Director of People & Culture, including travel coordination, calendar management, meeting coordination, and preparation of reports and presentations.
  • Represent SilverStone culture and brand as the first point of contact or business-related inbound calls, email inquiries and visitors (reception responsibilities). 
  • Support the onboarding experience for new employees, including welcome preparations and scheduling.
  • Collaborate with leaders to assist with various administrative needs.
  • Coordinate and manage office supplies, equipment requests, IT support issues, and facility vendor communications.
  • Schedule internal meetings, interviews, events, and assist with Home Health and Hospice scheduling support as needed.
  • Maintain and update documents in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
  • Utilize AI and content creation tools to draft internal and external messages or communication pieces when needed.
  • Handle expense reports, vendor communications, and special projects as needed.
  • Support cross-functional collaboration and maintain an organized, welcoming, and efficient office environment

 

Qualifications

  • Minimum 3–5 years of experience as an Executive Assistant supporting executive-level leadership, preferably C-suite in the Home Health or Hospice sector.
  • Exceptional organizational and time management skills with a proactive approach to task completion.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), Microsoft Teams, SharePoint.
  • Familiarity with payroll processing and HRIS documentation is preferred
  • Excellent written and verbal communication skills; able to represent SilverStone Health professionally.
  • Ability to manage competing priorities with a calm, solutions-oriented mindset.
  • Experience supporting senior leadership and navigating sensitive or confidential information.
  • Comfortable working in a fast-paced, mission-driven healthcare setting.
  • Skilled in scheduling, event planning, and administrative coordination.
  • Familiarity with AI tools for messaging or content support is a plus.

Schedule

  • Part-Time: Approximately 20 hours per week, Monday – Friday.
  • Temp-to-Perm Opportunity: Ideal candidate will be considered for long-term placement following an initial temporary period.
