RECEPTIONIST/ADMINISTRATIVE ASSISTANT
 

The Mears Transportation Motor Coach Receptionist / Admin Assistant will work under the supervision of the Human Resources Manager / Military Talent Acquisition Manager.

 

Rates for position:

Depends upon experience.

 

Schedule:

Monday – Friday 8:00am -5:00pm

 

Duties & Responsibilities are included but are not limited to:

Under general supervision, answers and directs all incoming telephone calls, greets all visitors and applicants in a polite and courteous manner.

Opens, and distributes mail, and performs general office duties such as typing, filing, creating spreadsheets and data entry.

Keeps up with all employees, such as name, extension, and department they work in, and their availability.

Sends and receives inter-office communications and faxes. Makes copies of documents and distributes as needed.

Informs job applicants of current job openings and provides applicants with employment applications.

Answers driver applicant questions. Provides pre-employment applications and information as needed.

Processes driver applications, run/review Motor Vehicle Reports and coordinates interview and road test appointments.

Creates, files and processes hiring documentation.

May also be required to perform other duties as requested.

Qualifications

QUALIFICATIONS REQUIREMENTS:

Education:             High School Diploma or equivalent required. Some College or College degree preferred.

Experience:           Minimum one-year prior experience as a receptionist preferred.

Skill at:                   Word processing. Also, must have good oral and written communication skills. Spanish Language skills preferred.

Knowledge of:      Microsoft Office (Word, Excel, Outlook) software packages; operations of various business machines; and general office procedures.

 

Qualifications of this position are:

 

  • Proven work experience as a Receptionist, Administrative Assistant, Front Office Representative, or similar role.
  • Solid written and verbal communication skills
  • Must be able to remain calm, pleasant, and poised in high pressure situations
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Strong interpersonal and problem-solving skills
  • Be outgoing with a positive attitude
  • Proficient in Microsoft Word, Excel, Outlook
