Description

Summary: Reporting to the Director of Finance and Operations, the Director of Facilities and Security is responsible for maintaining physical facilities that promote a safe, well-maintained and student-focused learning environment. The Director of Facilities and Security is responsible for managing the planning, construction, remodeling, maintenance, cleaning, safety and use of the facilities and related assets, including event setups. In addition, The Director of Facilities and Security is an active member of the Academy leadership team, and is the key administrative liaison for the Building and Grounds Committee of the Board of Directors.

Essential Job Functions:

Campus Facilities Management and Supervision

  • Oversees daily operations of the facilities department, ensuring a high standard of service and responsiveness to faculty, staff and visitors
  • Supervises work order management to ensure timely and efficient completion of maintenance, event setups and student activities
  • Oversees outside contractors for the school's grounds, custodial and security departments on campus.

Construction

  • Plan, budget, schedule and oversee facility modifications including cost estimates, bid sheets, layouts and contracts
  • In coordination with the Director of Finance and Operations, serves as the school's representative with contractors for design and construction projects
  • Maintain communications with county and city agencies as necessary to obtain jurisdictional approval, permits and inspection necessary for campus compliance and approved implementation of capital project and facility maintenance
  • Inspect construction and installation progress to ensure conformance with established specifications, code and applicable governmental regulations.

Maintenance

  • Ensures the careful maintenance of buildings and grounds, equipment, vehicles and cleaning programs that keep the school's appearance in exemplary condition
  • Updates and maintains all preventative maintenance schedules and long-range plans
  • Maintains an inventory of essential equipment, supplies, and replacement parts to ensure smooth operations
  • Ensures that all mandated inspections are completed and appropriate documentation maintained
  • In coordination with the Facilities & Grounds Supervisor, oversees maintenance projects for the purpose of ensuring  completion within project time frames, design, regulatory requirements and budget
  • Assists the Technology Department with the school's telephone, audio-visual and computer wiring infrastructure by working with appropriate contractors to maintain and troubleshoot these services

Safety and Security

  • Establishes and promotes a safe environment by performing safety audits, employee training and inspections, and maintaining open channels of communication
  • Coordinates and maintains the school's security system
  • Oversees emergency response plans, including employee training
  • Ownership of OSHA compliance and similar regulatory safety requirements
  • In coordination with the Director of Finance and Operations, oversees compliance with the Tolog Transportation program

Events

  • Ensures facility readiness for day-to day events as well as special events
  • Attends planning meetings and assigns work orders

Budgeting and Administration

  • Creates and administers facilities operating and capital budgets
  • Solicits, reviews and negotiates vendor contracts in partnership with the Director of Finance and Operations
  • Submits and approves vendor invoices and reconciles credit card activity in a timely manner
  • Supervisory responsibilities are full scope including assisting with recruiting, hiring, training, staff development, team building, evaluating, counseling and terminating, employee development, engagement and retention.

Other Job Duties and Responsibilities

  • Plans, budgets and oversees campus-wide sustainability programs and efforts to reduce campus carbon footprint
  • Maintains positive relationships with neighbors
  • Certain job responsibilities may be scheduled in the evenings or weekends
  • Executes all other duties as assigned by upper management

Qualifications

Education and Experience:

  • Bachelor's degree in facilities management or related field from an accredited college or university is preferred.
  • Minimum of eight years of experience in facilities management or property management.
  • Minimum of five years of prior experience managing others.

Skills, Knowledge and Abilities:

  • Experienced in building high-performing teams by managing, mentoring, and coordinating staff across multiple functions
  • Google Workspace: Proficient in Gmail, Drive, Docs and Sheets
  • Microsoft Office: Proficient in Word, Excel, and PowerPoint functions
  • Database Software: Strong working knowledge of maintenance & facilities software such as Q-Ware or Brightly
  • Knowledge: Must demonstrate in-depth knowledge of core building systems, including plumbing, electrical, and HVAC, with the ability to troubleshoot and resolve issues efficiently.
  • Goal Attainment: Demonstrated ability to plan, set goals and objectives, organize and implement to completion.

Physical and Environmental Conditions:

  • Must be mobile to supervise throughout the campus grounds
  • Some standing required and the ability to lift and move heavy objects 50 lbs and work in various environmental conditions
  • Adverse movements required such as reaching overhead, bending, or crouching
  • Simultaneous/repetitive use of both hands is required for writing and data entry
  • Excellent sensory skills are important (sight, hearing and speech)
