Position Overview

The Department Manager for the Women’s Health Center plays a key leadership role in overseeing daily operations across multiple physician practices within the scope of women’s health services—including obstetrics, gynecology, and urogynecology. This position reports directly to the Director of Clinic Operations and serves as the primary liaison between clinical staff, physicians, and administration.

In addition to managing departmental operations, the Department Manager may serve in a support role for other clinic managers during absences or emergencies and may occasionally participate in clinical staffing if needed.

Key Responsibilities

  • Serve as the primary point of contact for physicians, providers, and clinic staff
  • Act as a liaison between clinical personnel, administration, and external vendors
  • Respond to and resolve patient concerns in a timely, professional manner
  • Oversee staffing for multiple clinics to ensure optimal coverage
  • Maintain accurate timekeeping records; monitor and control overtime usage
  • Support the hiring process, including candidate selection and onboarding in partnership with HR and the Education & Training team
  • Oversee staff education, including specialty-specific and procedural training
  • Ensure compliance with established workflows and help develop department-specific procedures in collaboration with leadership
  • Monitor department performance metrics to identify areas for improvement
  • Conduct performance evaluations and competency checks for clinic staff
  • Ensure compliance with all organizational policies and procedures
  • Partner with Human Resources to address disciplinary issues as needed
  • Lead regular team huddles and staff meetings
  • Manage clinic inventory and coordinate with Purchasing for supplies and equipment
  • Create and maintain provider schedules and clinic coverage plans
  • Support new physician onboarding and clinic setup
  • Collaborate with the Practice Development team to maintain provider templates and communication workflows
  • Work with Information Services to ensure proper functionality of clinic technology systems
  • Participate in leadership development and training sessions as required

 

Qualifications

Qualifications

  • Current RN license from an accredited nursing program
  • Minimum of 3 years’ management experience in a clinic or hospital setting
  • Prior experience in women’s health services strongly preferred
  • Current Basic Life Support (BLS) certification

  • Proven leadership and team management skills
  • Strong organizational and problem-solving abilities
  • Exceptional communication skills, both verbal and written
  • Familiarity with physician-owned practice operations
  • Ability to work effectively in a fast-paced, dynamic healthcare environment
  • Proficient in Electronic Health Records (EHR) systems and Microsoft Office Suite
  • Strong cross-functional collaboration skills with clinical and administrative teams
