Description

The Maintenance Contract Billing Clerk is responsible for the accurate and timely preparation, processing, and maintenance of service contract billings for copiers as well as other office equipment. This position ensures customer contracts are billed in accordance with agreed terms, handles meter reading data, and provides support to internal teams and customers related to service agreements.

 

Key Responsibilities:

  • Generate recurring service contract invoices based on customer agreements, meter readings, and billing cycles.
  • Collect, verify, and enter meter readings for equipment under contract, coordinating with customers and service manager as needed.
  • Review contracts for accuracy and ensure proper setup in the billing systems.
  • Maintain and update contract records, including renewals, adjustments, and cancellations.
  • Reconcile contract billing discrepancies and resolve customer billing issues promptly.
  • Coordinate with the service, sales, and accounts receivable teams to ensure contract terms are met and billing aligns with service delivery.
  • Assist with audits of service contracts and report on contract performance and profitability.
  • Monitor systems settings for expiration and renewal dates of contracts and generating renewal notices or updated agreements.
  • Ensure compliance with company policies, cost monitoring measures, and billing timelines.
  • Provide excellent customer service and maintain professional communication with internal and external stakeholders.

Qualifications

Qualifications:

  • High school diploma or equivalent (Associate degree in Accounting or Business desired). **Preferred Accounting, Finance, Management of Information Systems (MIS) or similar college degree
  • **Preferred 2+ years of experience in billing, accounting, or administrative roles—in the copier or office equipment, or similar industry.
  • Familiarity with service contracts, billing cycles, and meter-based billing processes.
  • Proficient in billing or ERP systems (e.g., e-automate, OMD, SAP) and Microsoft Office Suite, especially Excel.
  • Excellent attention to detail, organizational skills, and time management.
  • Strong communication and customer service skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Skills:

  • Experience in copier or office technology industry billing practices.
  • Understanding of cost-per-copy contracts and overage billing models.
  • Knowledge of service dispatch or contract management systems.
  • Analytical Skills in revenue source management are a major + and can lead to rapid promotion.
