Description

To work under the direction of the Intake & Data Manager to ensure a seamless entry into Iris Family Support Center for all Clients by providing impeccable customer service through supporting and implementing the agency-wide intake process. This role will be responsible for entering referrals into CaseWind and coordinating with agency leaders on case assignment within required timelines. This position will also include a variety of secretarial/clerical functions to support the agency.  This position requires the ability to work independently, exercising judgment and initiative, as well as the ability to follow directions accurately. The schedule for this position is 10am-6pm, Monday through Friday

Essential Functions

  • Along with team member(s), receives and processes all referrals for the agency’s programs within necessary time constraints.

  • Sends out case assignment emails to the assigned staff to ensure timely service initiation.

  • Keeps in contact with all referral agency coordinators regarding services for all clients going through the intake process.

  • Requests corrected contact information for all referred persons and renewal/updated/corrected referrals from referral agency coordinators.

  • Completes case notes for each contact with the client, caregiver and/or referral agency coordinator.

  • Completes closing monthly reports for all denied referrals by the 3rd of each month for the referrals denied the previous month.

  • Completes monthly reports by the 3rd of each month for all cases from the previous month that are currently going through the intake process and have not been assigned to an on-going staff.

  • Maintains accurate and timely data in all spreadsheets and trackers used in the department.

  • Requests additional units in KidTraks and processes the updated referrals into CaseWind each month.

  • Provides effective customer service to all clients, caregivers, referral agencies and staff served by the agency.

  • Helps to provide regular coverage of the front desk receptionist responsibilities when needed.

  • Attends regularly scheduled supervision with supervisor

  • Attends monthly team meetings with Intake & Data Team.

  • Establishes and maintains effective and professional working relationships with all Iris Family Support Center employees and referring agencies.

  • Communicates with internal and external customers via email, text, and phone call

Qualifications

  • Ability to record, prepare and communicate appropriate reports.

  • Proficient in Microsoft Office Suite applications, including Excel, Word, Outlook and PowerPoint.

  • Experienced navigating through multiple databases and spreadsheets at once

  • Customer Service Skills (internal and external customers), including effective communication skills.

  • Must possess a valid driver’s license

Physical Demands

  • Largely a sedentary role utilizing a computer for more than 6 hours a day.

  • Requires the ability to lift files, open filing cabinets or bend and stoop as necessary.

  • Requires the ability to occasionally lift office supplies, materials and equipment up to 25 pounds.

  • Must have regular, dependable transportation

Expected Hours of Work

  • This position is scheduled from 10am-6pm Monday-Friday and requires individual to be accessible during normal office hours.

  • Occasional flexibility in hours is allowed, the employee must work 40 hours each week to maintain full-time status

Required Education

  • High School diploma or GED. 

  • Minimum of three years’ experience in a paid administrative position
