Job Summary:
The On-Site Office Manager will be responsible for managing office operations, coordinating administrative support, and ensuring a productive and organized office environment. This role will require excellent organizational and communication skills, as well as the ability to manage multiple tasks and priorities efficiently.
Key Responsibilities:
- Office Administration:
- Oversee daily office operations and ensure everything runs smoothly.
- Maintain office supplies and equipment, ensuring stock levels are kept up and ordering new supplies as needed.
- Handle incoming and outgoing mail, packages, and deliveries.
- Organize and maintain office filing systems and records.
- Staff Coordination:
- Supervise administrative assistants and office staff.
- Assign tasks, monitor performance, and ensure that deadlines are met.
- Coordinate staff schedules, meetings, and workspaces.
- Communication:
- Serve as the primary point of contact for office visitors, phone calls, and emails.
- Assist in scheduling and coordinating meetings, conferences, and events.
- Communicate with vendors, service providers, and other external stakeholders.
- Facility Management:
- Ensure office facilities are clean, organized, and well-maintained.
- Coordinate with building management for any office-related repairs or improvements.
- Financial Administration:
- Manage office budgets, track expenses, and ensure cost efficiency.
- Process invoices, payments, and track office-related expenditures.
- Assist with payroll and other HR-related administrative tasks.
- Health and Safety Compliance:
- Ensure the office complies with health and safety regulations.
- Implement office safety procedures and handle emergency situations as required.
- Event Planning:
- Coordinate company events, team-building activities, and client meetings.
- Plan and organize company parties, holiday events, or training sessions.
