Position Summary
The Office Supervisor acts as an on-site leader supporting the Practice Administrator by overseeing daily operations, coordinating staff activities, and ensuring smooth clinic functioning. This role requires a proactive and solutions-focused individual capable of managing workflow, addressing patient concerns, and maintaining a high standard of service and compliance.

Inventory Oversight
|
Monitor billing and payments for high-cost medications and procedures.

Reporting
|
Generate and review reports for missing charges, no-shows, PQRS, MU, PAQ, etc., for administrator review.
|
Front Desk Support
|
Assist with check-in/out, scheduling, scanning, handling billing emails, and training new front desk staff.
|
Supply Management
|
Order and manage front desk supplies and printed materials.
|
Operations Supervision
|
Oversee daily clinic operations, serve as liaison in the administrator’s absence, and handle staff/patient issues. Assist Practice Manager with time and attendance review/approvals.

Triage Support
|
Provide backup support for urgent patient and hospital calls when needed.
|
Administrative Projects
|
Assist with implementing and updating clinic policies and procedures.
|
Back Office Staff Supervision
|
Supervise Certified Medical Assistants (CMAs) and other back-office staff, including daily assignments, workflow monitoring, performance feedback, and training.
|
Staff Scheduling & Coverage
|
Coordinate coverage for both front and back-office teams; ensure adequate staffing levels and shift coverage during absences or peak times.

Quality & Compliance Monitoring
|
Ensure clinical staff adherence to protocols, infection control, documentation standards, and other regulatory/compliance requirements.
