The Human Resources Assistant aids with and facilitates the human resources processes in our Northern California locations. The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resources department, enforcing company policies and practices, and HRIS data entry.

Hourly Range: $21.00 to $22.00 hourly (Based on experience)

Supervisory Responsibilities:

  • None

Duties/Responsibilities:

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records within the company’s HRIS System.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides physical and digital clerical support to the HR department.
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9 in Paycom, verifies I-9 documentation and processes E-Verify.
  • Submits online investigation requests and assists with new-employee background checks.
  • Assists Benefits Specialist with the administration of employee benefits, which may include collecting and submitting employee information and notice of changes in status to health, dental, life, and disability.
  • Conducts or assists with new hire orientation, onboarding and offboarding of temporary placements, and full-time employees in Sacramento.
  • Refers employees to company’s designated clinic following an injury or accident.
  • Coordinates with HR Team and supports company-wide information meetings such as open enrollment, new hire orientation, and meetings to announce or discuss changes in retirement or benefits plans.
  • Provides support to the Receptionist on phones and other duties when needed.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Performs other duties as assigned.

Qualifications

  • Required Skills/Abilities:
    Working understanding of human resource principles, practices, and procedures.

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite, Teams, and Paycom.
  • Proven ability to work effectively in a team environment with peers.
  • Effective planning and priority setting. The ability to manage several complex projects simultaneously while working under pressure to meet deadlines.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.  Must be able to travel up to 25%

Education and Experience:

High school diploma or equivalent required; Associate’s degree preferred. Must have a minimum of two years in human resources. PHR or SHRM-CP is a plus. Three years of office experience preferred. Paycom: 2 years (Preferred)
