Description

The IT Systems Specialist will provide advanced technical support and hands-on administration of our technology infrastructure. This includes directly implementing and maintaining effective tools and automation, including relevant AI-powered solutions, to optimize IT operations (AIOps principles may be applied). This position will handle day-to-day technical operations, administer all facility-related technology systems, and provide essential hands-on support to ensure seamless technological functionality across the organization. The Specialist will report to the Director of Information Technology and provide technical expertise to support the Executive Assistant & Office Manager and HR Coordinator in creating an optimized work environment that supports our mission of transforming histopathology through AI-powered virtual staining technology. This role is based onsite at our HQ in LA 5 days a week.

Key Responsibilities:

Technical Support & Troubleshooting

Serve as the primary technical support resource for all hardware, software, and network issues at headquarters
Provide advanced troubleshooting and resolution for complex technical problems in a timely manner
Handle technical support requests with appropriate prioritization and escalation procedures, utilizing modern tools and techniques (which may include AI-powered features like intelligent routing or knowledge base enhancements) to improve efficiency and user experience
Deliver hands-on technical support for virtual and in-person meetings and presentations
Configure and deploy workstations and equipment for new and existing employees
Create and maintain technical documentation and knowledge base resources for common issues, implementing solutions to make these resources more accessible and intelligent
Conduct technical training for staff on technology best practices and security procedures
Coordinate with remote support resources for complex technical issues requiring escalation

IT Infrastructure & Systems Administration

Administer and maintain on-site IT infrastructure including workstations, servers, and cloud infrastructure (AWS), implementing modern tools, including AI-assisted technologies where beneficial, for predictive maintenance, automated monitoring, and performance optimization
Execute system performance monitoring, reliability checks, and security maintenance of company technology systems
Implement, configure, and upgrade hardware and software across the organization, including the evaluation and deployment of solutions that may incorporate AI to enhance IT operations
Work with managed service provider to monitor system performance and proactively identify potential issues before they impact operations, potentially enhancing this with advanced analytics
Develop and maintain comprehensive technical documentation for all systems, processes, and configurations
Administer cloud-based applications and infrastructure in coordination with the IT Director, implementing tools for cost optimization and resource management, which may include AI-driven capabilities
Identify, evaluate, and implement automation opportunities for routine IT tasks, log analysis, and system self-correction, considering AI-powered tools where they add significant value

Facility Technology Support

Administer all technology equipment throughout the facility including computers, printers, phones, audiovisual systems, and security devices
Configure and maintain on-site telecommunications systems, including conference systems and video conferencing equipment
Provide technical support for facility-related technology such as access control systems, alarms, and surveillance equipment
Ensure proper power management, cabling, and connectivity throughout the facility
Coordinate with building management on technology-related infrastructure issues
Execute inventory management for all technology assets and supplies
Implement and perform preventative maintenance programs for facility technology systems
Provide technical setup and on-site support for special events

Security Implementation & Maintenance

Implement and enforce security policies and procedures for all on-site systems, incorporating advanced security tools and practices, which may include AI-enhanced capabilities for threat detection, anomaly identification, and response
Ensure technical compliance with relevant industry regulations and standards
Conduct regular security assessments and remediate identified vulnerabilities
Administer user access controls and permission settings across systems
Monitor for and respond to security incidents according to established protocols, utilizing effective tools for timely detection and analysis
Maintain secure configuration of all facility technology systems
Support security awareness training delivery for all employees
Assist with technical aspects of security audits and documentation requirements

Cross-Functional Technical Support

Provide technical expertise and support for facility technology initiatives coordinated by the Executive Assistant & Office Manager
Support the HR Coordinator with technical aspects of employee onboarding and offboarding processes
Assist the Director of IT in implementing strategic technology initiatives and projects, including those focused on adopting modern operational tools and automation
Serve as the technical liaison between headquarters staff and IT leadership
Provide technical input on technology budgeting and purchasing decisions, including cost-benefit analysis for new tools and automation
Support technology policy development and enforcement through technical implementation
Participate in cross-departmental meetings to understand and address technical requirements
Contribute to continuous improvement initiatives for workplace technology, implementing enhancements that increase efficiency and proactivity

Qualifications

Qualifications

Experience & Education

Bachelor's degree in Computer Science, Information Technology, or related field.
3+ years of experience in IT management, systems administration, or related technical role, with some experience in evaluating or implementing modern IT automation or analytics tools. Familiarity with AI applications in IT operations is a plus.
Experience managing technology infrastructure in a corporate environment.
Hands-on experience with network management, system administration, and user support.
Experience with IT automation platforms or tools; an understanding of how AI-driven analytics can enhance IT operations is desirable.
General understanding of how emerging technologies, including AI/ML, can be practically applied to improve IT service management, infrastructure monitoring, or cybersecurity.
Experience in a biotechnology, healthcare, or regulated industry preferred.

Technical Skills

Strong knowledge of network infrastructure, servers, and security systems, and an interest in how modern analytical tools can enhance their management.
Proficiency with Windows and Mac operating systems and enterprise applications.
Experience with cloud services (AWS, Azure, or GCP) and SaaS applications, including an awareness of advanced operational tools available on these platforms.
Knowledge of telecommunications systems, including VoIP and video conferencing.
Familiarity with access control systems and facility-related technology.
Understanding of IT security best practices and compliance requirements, including awareness of how advanced analytics can augment security measures.
Experience with help desk management and support ticket systems, and familiarity with features that enhance automation and user experience.
Knowledge of backup and disaster recovery solutions.
Demonstrable ability to learn and apply new IT operations tools and technologies, including those that incorporate AI or machine learning.
Optional: Familiarity with scripting languages (e.g., Python) for automation is a plus.
