Position Overview
The Manager of Information Technology will play a vital role in maintaining, enhancing, and innovating our technology infrastructure. This includes identifying and implementing effective tools and automation, including relevant AI-powered solutions, to optimize IT operations (AIOps principles may be applied). This position will manage day-to-day IT operations, oversee all facility-related technology, and provide essential hands-on support to ensure seamless technological functionality across the organization. The Manager will report to the Director of Information Technology and collaborate closely with the Executive Assistant & Office Manager and HR Coordinator to create an optimized work environment that supports our mission of transforming histopathology through AI-powered virtual staining technology by ensuring our internal IT practices are advanced and efficient. Â This role is based onsite at our HQ in LA 5 days a week.Â
Key Responsibilities:
IT Infrastructure & Systems Management
- Manage and maintain on-site IT infrastructure including servers, networks, telecommunications, and security systems, seeking opportunities to leverage modern tools, including AI-assisted technologies where beneficial, for predictive maintenance, automated monitoring, and performance optimization.
- Work with IT team to ensure system performance, reliability, and security of company technology systems.
- Implement, configure, and upgrade hardware and software across the organization, including the evaluation and deployment of solutions that may incorporate AI to enhance IT operations.
- Partner with managed service provider to monitor system performance and proactively identify potential issues before they impact operations, potentially enhancing this with advanced analytics.
- Develop and maintain documentation for all systems, processes, and configurations.
- Implement disaster recovery procedures and ensure regular system backups.
- Support cloud-based applications and infrastructure in coordination with the IT Director, exploring tools for cost optimization and resource management, which may include AI-driven capabilities.
- Manage vendor relationships for technology services and equipment, including those offering innovative IT solutions.
- Proactively identify, evaluate, and implement automation opportunities for routine IT tasks, log analysis, and system self-correction, considering AI-powered tools where they add significant value.
Technical Support & Help Desk Management
- Serve as the primary point of contact for all technical support requests at headquarters.
- Establish and manage help desk operations with clear prioritization and escalation procedures, exploring and implementing modern tools and techniques (which may include AI-powered features like intelligent routing or knowledge base enhancements) to improve efficiency and user experience.
- Troubleshoot and resolve hardware, software, and network issues for staff in a timely manner.
- Provide hands-on technical support for virtual and in-person meetings and presentations.
- Set up and maintain workstations and equipment for new and existing employees.
- Create and maintain knowledge base resources for common technical issues, looking for ways to make these resources more accessible and intelligent.
- Train staff on technology best practices and security procedures.
- Coordinate with remote support resources for complex technical issues.
Facility Technology Management
- Oversee all technology equipment throughout the facility including computers, printers, phones, audiovisual systems, and security devices.
- Manage on-site telecommunications systems, including conference systems, and video conferencing equipment.
- Maintain facility-related technology such as access control systems, alarms, and surveillance equipment.
- Ensure proper power management, cabling, and connectivity throughout the facility.
- Coordinate with building management on technology-related infrastructure issues.
- Oversee inventory management for all technology assets and supplies.
- Implement preventative maintenance programs for facility technology systems.
- Support special events with necessary technical setup and on-site support.
Cross-Functional Collaboration
- Partner with the Executive Assistant & Office Manager on facility technology planning and implementation.
- Collaborate with the HR Coordinator on technology aspects of employee onboarding and offboarding.
- Support the Director of IT in implementing strategic technology initiatives and projects, including those focused on adopting modern operational tools and automation.
- Serve as the liaison between headquarters staff and IT leadership.
- Provide input on technology budgeting and purchasing decisions, including cost-benefit analysis for new tools and automation.
- Assist with technology policy development and enforcement.
- Participate in cross-departmental meetings to understand and address technology needs.
- Contribute to continuous improvement initiatives for workplace technology, championing enhancements that increase efficiency and proactivity.
Security & Compliance
- Implement and enforce security policies and procedures for all on-site systems, incorporating advanced security tools and practices, which may include AI-enhanced capabilities for threat detection, anomaly identification, and response.
- Ensure compliance with relevant industry regulations and standards.
- Conduct regular security assessments and remediate identified vulnerabilities.
- Manage user access controls and permission settings across systems.
- Monitor for and respond to security incidents according to established protocols, utilizing effective tools for timely detection and analysis.
- Maintain secure configuration of all facility technology systems.
- Support security awareness training for all employees.
- Assist with security audits and documentation requirements.
